Position Overview
The Receptionist is responsible for maintaining front desk coverage, greeting members and visitors, answering and routing calls, supporting check-ins, and maintaining a welcoming, organized reception area. This role also provides light clerical support that can be completed while maintaining front desk coverage.

Key Responsibilities:
Front Desk and Member Support
- Greet members, visitors, walk-ins, and staff in a courteous and professional manner.
- Answer, screen, and route incoming phone calls.
- Take accurate messages and forward them to the appropriate staff.
- Provide general program information as appropriate.
- Support member check-ins and notify staff when members or visitors arrive.
- Direct walk-ins and callers to the appropriate staff or resource.
- Respond to upset, confused, or frustrated callers and visitors calmly and professionally.
- Monitor lobby activity and maintain a safe, respectful, and professional environment.
Light Clerical Support
- Assist with copying, scanning, faxing, and basic document preparation.
- Assemble basic packets as directed.
- Maintain visitor and call logs.
- Sort and distribute incoming mail.
- Prepare simple outgoing mailings, including labeling, stamping, and organizing mail for pickup.
- Route documents, messages, and information to the appropriate staff.
- Assist with simple filing or document organization while maintaining confidentiality.
- Provide limited administrative support to staff as needed, consistent with front desk responsibilities.
Light Organization and Office Support
- Maintain organization of the front desk, reception area, lobby, and nearby shared spaces.
- Notify appropriate staff when supplies are low, equipment is not working, or an area needs attention.
- Support other front-desk-related tasks as assigned.
Communication and Confidentiality
- Communicate with members, staff, visitors, and external callers in a professional and respectful manner.
- Maintain confidentiality of member, staff, and organizational information.
- Handle documents and information in accordance with HIPAA and company confidentiality policies.
- Use discretion when routing calls, messages, documents, or visitor questions.
- Ask for guidance when unsure how to route a matter.
Required Qualifications
- High school diploma or GED required.
- Prior receptionist, front desk, customer service, or office support experience preferred.
- Experience in a healthcare, social service, or community-based setting is preferred.
- Bilingual in English and Spanish highly preferred

- Ability to take accurate messages and route information appropriately.
- Basic computer skills, including email, Google Workspace, and office equipment.
- Ability to maintain confidentiality and follow HIPAA requirements.
- Ability to remain calm and professional with upset, confused, or frustrated callers or visitors.
- Organized, reliable, and able to follow direction.
- Able to complete light clerical tasks while maintaining front desk coverage.

Physical Demands
This position requires sitting, standing, walking, using a computer, answering phones, and handling documents. The employee may occasionally lift or carry light office materials. Reasonable accommodations may be made as required by law.
