- Job Summary
We are looking for a detail-oriented and versatile Office Manager/Bookkeeper with hands-on experience in QuickBooks Online and a solid foundation in accounting principles. In this key role, you’ll manage daily office operations, handle financial tasks, and support our hospitality team—ensuring everything from guest inquiries to vendor payments is handled efficiently and professionally.
Key Responsibilities
- Bookkeeping & Accounting
- Manage all bookkeeping functions using QuickBooks Online (A/P, A/R, bank reconciliations, payroll processing, financial reporting).
- Pay invoices, track expenses, and ensure timely vendor payments.
- Prepare monthly financial statements and assist management with budgeting/forecasting.
- Maintain accurate records for audits and tax preparation.
- Office Management
- Answer phones, greet visitors, and manage incoming inquiries with a warm, professional demeanor.
- Obtain insurance quotes and maintain coverage documentation.
- Research vendor quotes, supplies, services, and equipment; negotiate when needed.
- Coordinate office maintenance, work orders, supplies, and equipment.
- Oversee mail distribution, and ability to create a detailed organized filing systems.
- Hospitality-Specific Support
- Assist with event coordination, vendor contracts, and guest billing as needed.
- Ensure compliance with TABC and Food sales industry regulations (health, safety, record keeping, licensing).
- Collaborate with Management, front-of-house and back-of-house teams to support seamless operations.
Qualifications
- Required
- 3 years of bookkeeping experience with QuickBooks Online certification or proven proficiency.
- Strong understanding of accounting fundamentals (debits/credits, GL, financial statements).
- 2 years in office management, preferably in hospitality, events, bar and restaurant, or hotels.
- Excellent phone etiquette and customer service skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Exceptional organizational skills and ability to juggle multiple priorities.
- Preferred
- Associate’s or Bachelor’s degree in Accounting, Business, or related field.
- Experience procurement and vendor negotiations.
- Familiarity with the POS system Toast a plus.
