Evening & Weekend Intake Specialist (Bilingual) – Wilhite Law Firm

The award-winning Wilhite Law Firm is seeking an energetic, bilingual (Spanish/English) Intake Specialist to join our team on a weekend and evening schedule. In this role, you will be the first point of contact for potential personal injury clients, making a positive first impression and guiding them through the intake process.

Shift Hours are Monday thru Friday 12pm-9pm and Saturday/Sunday 8am-5pm. Hybrid position.

What You’ll Do

• Serve as the initial point of contact for clients by phone, text, and email during weekends and nights
• Establish immediate rapport and assess potential cases, determining whether to move forward or close the inquiry
• Promptly update case details in our systems (e.g., Filevine and Lead Docket) to ensure accurate, timely record-keeping
• Gather and review documents, photos, and other pertinent case information to support our legal team’s review
• Send and manage contingent fee agreements and client releases using our electronic platforms
• Issue decline letters within one day for non-viable cases
• Assist with data entry and other office tasks as needed
  
  

Requirements

What We’re Looking For:

• Prior experience as an Intake Specialist or in a related role at a personal injury law firm
• Bilingual fluency in Spanish and English
• Exceptional communication skills, both verbal and written, with the ability to handle sensitive information discreetly
• Strong organizational skills with keen attention to detail and the ability to multitask in a fast-paced environment
• Comfortable working independently and as part of a supportive, family-like team
• Experience with Microsoft Office; familiarity with Lead Docket and Filevine is a plus
• A positive, can-do attitude and the ability to work effectively under pressure
• High school diploma or equivalent required
