General Job Description
We are looking for an Administrative Assistant to join our team to perform a variety of administrative and clerical tasks, including managing phones and emails, scheduling appointments, planning meetings and events, and assisting Owners, Guests, staff, and vendors.
Use organizational skills to manage your office space and your time, as you will collaborate with clients and colleagues in a fast-paced environment. You should have excellent oral and written communication skills and computer skills.
Ultimately, you will support our team in various departments and ensure our day-to-day office operations run smoothly.
Full Time; Weekend Availability
Key Responsibilities
- Administrative Support: Provide support to managers and employees aby assisting with daily office needs and managing general administrative activities.
- Communication Management: Answer phone calls, greet visitors, and handle correspondence, ensuring effective communication within the office, ensure effective communication with the community (i.e. notices, bulletins, memos, Weekly Update newsletter, emails, Owners Website, etc.)
- Scheduling and Coordination: Manage calendars, schedule appointments, and coordinate meetings, including logistics and ravel arrangements for executives and team members.
- Document Management: Maintain logs, organize and maintain filing systems, prepare reports, spreadsheets and presentations, data entry, and ensure easy access to information.
- Financial Processing: Process invoices, manage petty cash, and other financial tasks.
- Miscellaneous: Assist with miscellaneous tasks as assigned by Management.
Required Skills and Qualifications
- Communication Skills: Excellent oral and written communication skills are essential for interacting with Owners, Guests, employees, and vendors.
- Organizational Skills: Strong organizational abilities and time management skills, able to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Technical Proficiency: Proficiency and hands-on experience in office software, including Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with office equipment. (printers, scanners, laminator, and fax machines)
- Attention to Detail: Detail-oriented with the ability to maintain accurate records and manage sensitive information.
- Experience: Previous experience in an administrative role or similar position is preferred but not always required. In -depth understanding of office management and daily operations.
Work Environment
- In-Office Position: The candidate needs to be living on the island and physically report to the office.
