Role Description:
The Conference Services Manager is a full-time, on-site role based at The Westin Waltham Boston in Waltham, MA. This role oversees the planning, coordination, and execution of conferences, meetings, and special events from pre-arrival through post-event follow-up. Day-to-day responsibilities include working directly with clients to understand event objectives, preparing detailed banquet event orders, coordinating room layouts and audio-visual needs, and collaborating with sales, catering, banquet, and front office teams to ensure seamless delivery. The manager monitors event timelines, manages changes, and addresses guest requests promptly to support customer satisfaction and repeat business. The role also involves maintaining accurate records, tracking event performance, and supporting revenue and service goals while upholding brand standards.
Qualifications:
- Experience with Conference Services and Convention Services, including end-to-end management of meetings and events.
- Strong Meeting Planning and Event Planning skills for organizing logistics, timelines, and resources.
- Demonstrated focus on Customer Satisfaction, with the ability to build relationships and respond proactively to client needs.
- Previous experience in hotel or hospitality operations, particularly in events, catering, or sales coordination is preferred
- Excellent communication, negotiation, and interpersonal skills, with the ability to work cross-functionally.
- Solid organizational and time-management abilities, including handling multiple events and priorities.
- Proficiency with office software and event management tools; familiarity with property management or sales systems is a plus.
