The Westin DC City Center is a premier hotel located on M Street, offering 410 guest rooms and over 20,000 square feet of event space. We are seeking an experienced Sales & Catering Administrative Assistant to join our esteemed team.
The Sales and Catering Administrative Assistant will provide Remarkable Hospitality and exceptional service to every guest. The Sales and Catering Administrative Assistant will be responsible for providing administrative support to the Sales and Catering Department in order to support the hotel’s goals and objectives.
Position Summary:
We are seeking a highly organized and detail-oriented Sales & Catering Administrative Assistant to support the Director of Sales in driving group revenue through proactive sales initiatives. In this role, you will provide essential administrative support, assist with coordinating group events, and ensure smooth operations between internal teams and clients. Your attention to detail, communication skills, and ability to handle multiple tasks will be crucial in supporting the sales efforts and contributing to the overall success of the sales team.
Key Responsibilities:
· Provide administrative support to the Manager of Sales and Group Sales Managers by maintaining schedules, handling inquiries, and preparing necessary documentation.
· Updating client/account profiles and maintaining lead management systems.
· Overseeing turnover of contracts from sales to Event Services and Rooms Services and checking for errors.
· Completing regular system accuracy audits.
· Scheduling internal and external reminders and meetings.
· Attending Operational Meetings, Sales Meetings and other meetings deemed appropriate and recording and distributing meeting minutes.
· Maintaining site visit calendar and coordinating tour scheduling.
· Preparing and distributing reports as assigned by Manager of Sales.
· Support the Manager of Sales in identifying potential customers and markets to help meet the group sales revenue targets.
· Maintain accurate records of client communications, event details, and sales progress using internal tracking systems.
· Creating signs for distribution for Meeting Events.
· Assigning Marriott Bonvoy points to contact post-event.
· Monitoring sales amenity inventory and ordering as needed.
· Provide general administrative support for sales team meetings, conferences, and special events.
· Other duties as assigned.
Qualifications:
· Minimum of an associate’s degree or 1 years of relevant administrative experience required.
· Experience in hospitality, catering, sales, or event support roles is desirable.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Experience with CRM platforms or similar technical systems; ability to learn and adapt to evolving technology tools.
· Ability to manage multiple tasks and work under pressure in a fast-paced environment.
· Excellent organizational and time management skills.
· High attention to detail with a customer-focused mindset.
· Ability to maintain confidentiality and handle sensitive information with discretion.
