The Wealthy Practitioner is a fast-growing business coaching company known for delivering transformative, high-touch experiences for practitioners and entrepreneurs. We host 4–6 major events per year: from 300 attendee luxury conferences to intimate, curated retreats around the country.
We are seeking a Full-Time Event Coordinator with the operational horsepower and creative edge to bring our event vision to life. This role blends event logistics, vendor management, project management, aesthetics, and on-site execution with a strong emphasis on creating a premium, unforgettable attendee experience.
The Event Coordinator is responsible for planning, organizing, and executing all TWP events from concept to completion. This includes securing venues, managing RFPs, coordinating vendors and production teams, overseeing budgets, arranging attendee experience details, and managing the day-of-show operations for seamless execution. You’ll work directly with leadership to turn our strategic vision into a well-planned, beautifully-executed reality — creating events that feel elevated, on-brand, and transformational.
- Identify, research, and recommend ideal venues for events of 50–500 attendees
- Manage and submit RFPs, gather proposals, compare options, and negotiate contracts
- Create and manage detailed event timelines, production schedules, and run-of-show plans
- Coordinate travel and accommodations for speakers, VIP attendees, and internal team
- Handle all event-related budgeting including vendor quotes, deposits, and expense tracking
- Source, negotiate, and manage relationships with vendors such as:
- A/V & production companies
- Florists and décor teams
- Caterers & hospitality partners
- Photographers, videographers, and entertainment
- Gift vendors, printers, signage, and branded merch suppliers
- Coordinate sponsorship opportunities, contracts, deliverables, and on-site activations
- Ensure aesthetics, branding, and experiential details align with our luxury-standard brand
- Lead cross-functional planning for each event, ensuring deadlines are met
- Maintain project trackers, checklists, timelines, and folder organization
- Collaborate with marketing team on creative direction, event promotion, and assets
- Coordinate internal team meetings, updates, and pre-event communication
- Serve as the primary point of contact during events
- Manage set-up, rehearsals, stage flow, vendor arrivals, and backstage operations
- Troubleshoot issues in real time and keep events running on schedule
- Deliver an exceptional experience to every attendee and team member
- Oversee tear-down and post-event wrap-up
- Conduct event debriefs, expense reviews, and impact analysis
- Provide recommendations to improve future events
- Maintain event playbooks, contacts, and data for ongoing iteration
- 3 years of event coordination or event project management experience
- Experience planning in-person events of at least 200 attendees
- Strong background in project management, timelines, and vendor coordination
- Proven ability to execute luxury, high-touch, aesthetically-driven experiences
- Exceptional organizational skills and attention to detail
- Experience managing event budgets and contract negotiations
- Comfortable traveling multiple times per year (domestic; occasional international a plus)
- Comfortable working in a fast-paced entrepreneurial environment with shifting needs
- Strong communicator who is proactive, solution-oriented, and excellent with people
