Position Summary
The Administrative Specialist II provides comprehensive administrative and operational support for the Office of Business, Community, and Government Engagement, ensuring efficient day-to-day operations and coordination across units. Reporting to the Executive Director, the role supports scheduling, purchasing, budget tracking, documentation, and general office operations.
The Administrative Specialist II assists leadership and staff by maintaining organized records, supporting operational processes, and facilitating effective communication to ensure the smooth execution of employer engagement, analytics, and career-related initiatives.
Statement Of Duties And Responsibilities
Support office-wide operational processes such as purchasing, procurement, reimbursements, travel coordination, and invoice processing in accordance with University and State policies.
Assist with budget tracking, expense monitoring, and reconciliation by maintaining accurate records and supporting leadership with routine financial documentation.
Provide comprehensive administrative support for the Office of Engagement and Impact, including scheduling, calendar coordination, correspondence, and document preparation.
Serve as a primary administrative point of contact for internal and external inquiries, directing requests appropriately and ensuring timely follow-up.
Maintain organized record-keeping and documentation to support compliance, reporting, and operational continuity.
Coordinate meetings, events, and logistics for leadership and staff, including preparing materials, and follow-up documentation.
Complies with all State and University policies.
Other duties may be assigned.
Supervisory Responsibilities: This position does not have direct supervisory responsibility.

Minimum Education Required
High school diploma or equivalent.
Minimum Experience Required
Three (3) years of administrative, clerical, or office support experience in a professional office environment.
Demonstrated experience providing administrative support such as scheduling, document preparation, records management, purchasing, or basic budget tracking.
Preferred Education/Experience
Associate’s degree or coursework in business administration, office administration, or a related field.
Experience providing administrative support in a higher education, public sector, or similarly complex organizational environment.
Experience with university administrative systems such as financial, purchasing, travel, or human resources platforms.
Demonstrated experience supporting budgets, procurement, or expense tracking in accordance with institutional policies and procedures.
