    Purpose

    The Special Events Coordinator is responsible for the coordination and execution of on-site events in alignment with the Law School's mission of excellence.

    Responsibilities

    • Under the leadership of the Director of Operations and Special Events Manager, the Event Coordinator will plan and execute Law School events from start to finish, process all necessary event forms, purchase requests, payments and contracts as required by university policies. Work directly with caterers and other vendors. As-needed work after hours and weekends.
    • Coordinate and work closely with internal service providers like Facilities and Media Services, external vendors, and internal clients including faculty, staff, students, the foundation, and alumni. Work collaboratively with functional leaders and staff to ensure the smooth execution of on-site events in support of the priorities of the Dean.
    • Manage room reservations for the Law School event space. Create and maintain events calendar, oversee and assist with room setups and clean up. Keep inventory of department items including, but not limited to tables, linens, drinks, and other supplies.
    • Work closely with student support staff to complete their assigned duties.
    • Other functions as assigned.


    Required Qualifications

    Bachelor's degree. Three years of experience coordinating a wide range of events. Excellent communication skills and detail oriented. Demonstrated ability to prioritize responsibilities, problem solve, manage multiple concurrent projects and meet deadlines. Show initiative and good judgment. Able to work independently and as a part of a team. Strong positive interpersonal and customer service skills. Must be composed and professional under stress to effectively represent the Law School. Proficiency with MS Outlook, MS Excel, and MS Word, SmartSheet and mail merge.

    Relevant education and experience may be substituted as appropriate.

    Preferred Qualifications

    More than the required experience with coordinating events. Customer service experience, knowledge of Smartsheet is helpful. Knowledge of food safety/food handling. Experience with university events and accounting policies and procedures.

    Salary Range

    $48,000 depending on qualifications

    Working Conditions

    May work around standard office conditions. Repetitive use of a keyboard at a workstation, use of manual dexterity. Lift and move standard office files and supplies. Wear appropriate office attire; accept supervision. Work hours may include evenings, weekends, and some holidays during peak periods to meet deadlines.

    Employment Eligibility:

    Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers.     Retirement Plan Eligibility:

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
