    This position will support the university’s Department of Computer Science (UTCS), which boasts a top ten ranking from US News and more than 6,500 students across all programs. This places UT among the most significant intellectual hubs for computer science research and education anywhere in the world. UTCS has a close relationship with Austin’s thriving tech culture and works at the forefront of fields such as artificial intelligence, robotics, quantum computing, and cybersecurity.

    Purpose

    The Instructional Programs Coordinator supports the operational and administrative functions of instructional delivery across CDSO programs. Reporting to the Assistant Director of Learning & Curriculum, this role coordinates instructional staffing processes, training logistics, course readiness activities, and instructional support workflows.

    This position plays a critical role in maintaining consistency, documentation, and communication across faculty, Learning Facilitators, and internal partners while supporting continuous improvement of online teaching and learning. The role emphasizes coordination, training administration, process development, and project tracking. Over time, this person is expected to develop deep familiarity with CDSO’s instructional ecosystem—course structures, tools, timelines, and best practices—and to grow into a proactive contributor to instructional quality and innovation.

    Responsibilities

    Instructional Staffing Administration & Retention

    • Coordinate recruitment, onboarding, and appointment processes for Learning Facilitators (LFs) and instructional support staff
    • Maintain documentation, timelines, and records related to instructional staffing
    • Support evaluation and retention processes, including tracking assignments, performance milestones, and training completion
    • Serve as a primary administrative point of contact for LFs regarding policies, expectations, and procedural questions


    Training & Onboarding Coordination

    • Coordinate and deliver instructional training and onboarding for faculty, facilitators, and staff
    • Develop, maintain, and update training materials, documentation, and learning resources
    • Track training participation, completion, and compliance across programs
    • Schedule, facilitate, and present orientations and instructional sessions, including follow-up communications and action items


    Course Operations & Instructional Support

    Support course setup and readiness activities, including:

    • Canvas course shells for each active course section
    • Instructor and TA access provisioning
    • Discussion boards, LTI tool configuration
    • Downstream course readiness tasks (badge assignments, peer review scaffolding, module sequencing)
    • Coordinate troubleshooting of instructional technology issues in collaboration with internal partners
    • Assist faculty and instructional staff with procedural and scheduling questions related to course delivery
    • Maintain a documented, up-to-date listing of all active courses, sections, and upcoming course additions across CDSO programs


    Instructional Data & Reporting Support

    • Assist with the collection, organization, and reporting of instructional data (e.g., surveys, engagement metrics)
    • Support preparation of recurring reports using Canvas analytics, Salesforce, or related systems
    • Maintain data documentation and tracking processes to support continuous improvement initiatives


    Process Documentation & Continuous Improvement

    • Develop and maintain scalable documentation for instructional workflows and training processes
    • Support process improvement initiatives by identifying gaps, inefficiencies, or risks
    • Assist the Assistant Director of Learning & Curriculum with project tracking and cross-functional coordination
    • Actively engage with emerging best practices in instructional operations, online learning, and higher education administration to bring new ideas to the team


    Other Duties

    Perform other related duties as assigned in support of CDSO instructional operations.

    Required Qualifications

    • Bachelor's degree from an accredited institution
    • Experience coordinating training, onboarding, or administrative processes in an educational or professional environment
    • Strong organizational and project coordination skills
    • Experience working with online platforms (e.g., Canvas, Zoom, LMS tools)
    • Excellent written and verbal communication skills
    • Ability to manage multiple priorities and stakeholders in a fast-paced environment


    Relevant education and experience may be substituted as appropriate.

    Preferred Qualifications

    • Experience in higher education or online program administration
    • Familiarity with instructional support roles (e.g., TAs, facilitators, adjuncts)
    • Experience with CRM, reporting, or workflow tools (e.g., Salesforce)
    • Interest in online learning operations, workforce development, or program coordination


    Salary Range

    $65,000 depending on qualifications

    Working Conditions

    • Standard office environment.
    • Repetitive use of a keyboard at a workstation.
    • Occasional evening or weekend work may be required.

    Employment Eligibility:

    Retirement Plan Eligibility:

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
