Job Summary/Essential Job Functions
The Grants and Administrative Coordinator provides advanced administrative, programmatic, and post-award grants support for the College of Dentistry’s Bioscience Research enterprise. This position serves as a key coordinator for student research programs, departmental operations, compliance activities, and research-related events, while also managing post-award financial and regulatory responsibilities for sponsored projects. This position serves as a primary liaison between investigators, departments, and central administrative offices to ensure effective program delivery, fiscal stewardship, and regulatory compliance.

Experience
High School Diploma or GED. (TRANSCRIPT REQUIRED)
Five (5) years of progressively responsible experience in an academic, research, or healthcare environment, including experience coordinating programs, supporting faculty and students, and managing complex administrative processes; OR Bachelor’s Degree and one (1) year of related experience; OR Master’s Degree in lieu of experience.

Responsibilities
- Manages post-award administration for sponsored research projects from award setup through closeout.
- Tracks expenditures for allowability, allocability, and reasonableness; resolves discrepancies and prevents deficits.
- Prepares and processes budget revisions, cost transfers, prior approval requests, and other post-award changes.
- Prepares financial reports and assist with sponsor‑required reporting deliverables, including interim and final reports as applicable.
- Manages all stages of the College of Dentistry Dental Student Research Award Program.
- Coordinates planning, development, evaluation, and execution of student research activities in support of program goals and objectives.
- Manages departmental administrative functions.
- Leads end-to-end coordination of research-related academic and programmatic events.
- Works closely with Marketing and Communications to design, edit, and coordinate promotional materials, newsletters, abstracts, posters, booklets, and brochures.

- Skill in coordinating academic and research programs, managing grant-related financial tracking and reporting, and organizing multiple priorities with accuracy and attention to detail.
- Ability to work independently with sound judgment, interpret and apply policies and sponsor requirements, communicate effectively with faculty, staff, students, and external partners, maintain confidentiality, and adapt to changing priorities.
- Ability to maintain a high degree of confidentiality.
