What are the responsibilities and job description for the Purchasing Assistant position at The Tree Farm Operating Company LLC?
This is a part-time seasonal position that supports the Purchasing Manager in the receipt, storage, and distribution of goods and products to various departments within the club's operations. The role necessitates a keen awareness of daily, weekly, and monthly material requirements. The Purchasing Assistant plays a critical role in the efficient operation of receiving, storing, and distributing goods and products across the organization. The primary focus is on the procurement, receipt, storage, and distribution of all food and beverage items. This position also involves collaboration with the Administration, Member Services, Housekeeping, Food & Beverage and Golf departments. Responsibilities include receiving and verifying all incoming items, maintaining accurate records, and generating reports on incoming and outgoing supplies, as outlined in the duties below.
- Receiving and Storeroom inventory receipts, storage and protection with acute attention to accuracy, safety and health
- Prepare and organize Requisition Forms, invoices and packing slips and other related paperwork as assigned.
- Compares identifying information and counts, weights, or measures items of incoming and outgoing shipments to verify information against shipping/delivery costs, invoices, orders, or other records.
- Assist in the purchasing processes all Food, beverage and controllable items for the club.
- Maintain correct stock levels and advise the Purchasing Manager of increases and/or decreases deemed necessary
- Participate in monthly inventories of all food, beverage and controllable items, in coordination with kitchen staff
- Unpacks and examines incoming shipments, rejects damaged items, records shortages, and notifies the purchasing manager of any discrepancies. Routes items to departments.
- Coordinate and assist in special projects relating to Purchasing
Minimum
- Physical demands- In the performance of job duties, the employee is regularly required to sit, stand, walk, communicate, and listen. The role necessitates frequent use of hands for activities such as manipulating, handling, or feeling objects, tools, or controls. The individual must possess the ability to lift and/or move items weighing up to 80 pounds. Additionally, the position may involve pushing, pulling, bending, stooping, and reaching with hands and arms as necessary.
- Communication-Ability to communicate, both verbally and written, effectively with guests, vendors and co-workers. Must read, write and speak the English language fluently
- Computer skills- Fundamental Microsoft Office skills with emphasis on Excel
- Ability to work variable shift times. Willing to work on weekends and holidays.
