SUMMARYWork is supervised by the Special Events’ Event Manager who determines work assignments and checks work upon completion. Works with event vendors/exhibitors/suppliers to coordinate communications, space, and equipment requirements. Responsible for distributing and tracking and processing event vendor applications; fielding related questions; analyzing application details for completeness and possible conflicts; coordinating and pursuing all payments toward fees; working with the Event Manager to compile data toward space-use analysis and financial reporting; assisting with pre-event planning and preparation as well as on-site event execution and guest/vendor relations.
EXAMPLE OF DUTIES
Essential Duties and Responsibilities Maintains digital and/or physical files for each event vendor or project assigned.Establishes and maintains professional rapport with event vendors and contractors on behalf of the Event Manager and Department.Coordinates, tracks, receives and reviews all commercial, food, gourmet, alcohol sales and specialized/sponsored vendor application submittals for accuracy, completeness, and conflicts.Processes applications, including, but not limited to researching vendor product, company a and participation history; concerns routed to the Event Manager or fellow staff for comment. Tracks/records all communications related to assigned vendors and contractors on behalf of Event Manager and Special Events DirectorCoordinates conveyance of vendor fees/charges and collection of monies due from assigned vendors/contractors.Acts as primary customer service/guest relations contact for Department – addressing, researching and responding to all basic inquiries; hands off inquiries to Event Manager, if scope or nature of inquiry requires frontline effort to reduce handling time. Continues to track inquiries after hand-off.Attend events to ensure compliance, resolve issues and assist where deemed necessary.Maintains current files documenting each vendor’s processing details and communications and assists Event Manager with reporting.Prepares digital and physical communications, notices, and mailings.Actively supports Town-sponsored/produced events.Other duties as assigned by Event Manager, Operations Manager, and Tourism Director.Supervisory Responsibilities: Carries out on-site supervisory responsibilities over vendors described above in accordance with applicable Department policies and guidelines. Responsibilities include educating vendors and applying corrective action through professional communication related to policy deviations, addressing complaints, and resolving problems.
