What are the responsibilities and job description for the Accounts Payable Specialist - Growth Opportunity! position at THE SYSTEMS DEPOT?
The Systems Depot is a nationwide low-voltage security distributor specializing in Security, Fire, Access Control, CCTV, and Wire & Cable. We are seeking a motivated, detail-oriented Accounts Payable Specialist to join our Accounting & Finance team.
This is more than a transactional AP position. We are looking for someone who wants to learn, grow, ask questions, understand the “why” behind the numbers, and take on increasing responsibility over time. The right person will have the opportunity to expand their accounting knowledge, improve processes, participate in month-end activities, and develop into a broader accounting role over the next several years.
What You’ll Do
- Review, code, and enter vendor invoices accurately and timely.
- Perform 2-way and 3-way matching of invoices to purchase orders and receiving documentation.
- Research invoice, pricing, quantity, and receiving discrepancies and work cross-functionally to resolve them.
- Reconcile vendor statements and proactively identify missing invoices, credits, duplicate payments, and discrepancies.
- Set up and maintain vendors while supporting appropriate documentation and internal controls.
- Prepare weekly payment runs and assist with ACH, check, and other vendor payments.
- Communicate professionally with vendors regarding payment status, discrepancies, credits, and account issues.
- Maintain accurate AP aging and help identify items requiring attention before they become problems.
- Assist with month-end close, including AP cutoff, accrual support, reconciliations, and reporting.
- Partner with Purchasing, Receiving, Operations, and Accounting to improve the procure-to-pay process.
- Identify inefficient or manual processes and bring forward ideas for improvement and automation.
- Cross-train within the accounting department and gradually assume additional responsibilities based on performance and development.
Who We’re Looking For
We care as much about aptitude and attitude as we do years of experience. The ideal person is naturally curious, dependable, organized, and willing to take ownership rather than simply complete a task.
You may be a great fit if you:
- Have AP, bookkeeping, or general accounting experience.
- Understand basic accounting concepts and want to learn more.
- Have strong Excel and data-entry skills.
- Are extremely attentive to detail without losing sight of the bigger picture.
- Enjoy investigating discrepancies and figuring out why something doesn’t look right.
- Ask thoughtful questions and learn quickly.
- Are comfortable working independently while also collaborating across departments.
- Take initiative rather than waiting to be told every next step.
- Are receptive to feedback and genuinely interested in professional development.
- Want a position where your responsibilities can grow as your capabilities grow.
Career Growth: This role is intended for someone who wants to build a career—not remain limited to invoice entry. A strong performer can progressively gain exposure to general ledger accounting, account reconciliations, month-end close, inventory/accounting processes, reporting, internal controls, and process improvement, creating a path toward a higher-level accounting position
