Overview:
The Swiftwater, The Poconos newest luxury hotel, is hiring! The Administrative Assistant plays a key role in supporting the daily operations by providing high-level administrative, organizational, and communication support. This position requires exceptional professionalism, discretion, and attention to detail, ensuring that internal operations reflect the hotel’s brand standards of excellence, elegance, and guest-centric service
Responsibilities:
Administrative Support
- Provide administrative support to hotel leadership, including scheduling, correspondence, and document preparation
- Prepare reports, presentations, and meeting agendas
- Maintain organized digital and physical filing systems
Communication & Coordination
- Serve as a professional point of contact for internal departments, vendors, and external partners
- Draft, proofread, and format emails, memos, and official correspondence
- Coordinate interdepartmental communication to ensure smooth operations
Operational Assistance
- Assist with purchasing, invoice processing, and expense tracking
- Support onboarding and administrative aspects of HR as needed
- Help coordinate special projects, events, and VIP arrangements
- Ensure compliance with hotel policies and confidentiality standards
Luxury Service Standards
- Uphold brand standards in all communications and interactions
- Demonstrate poise, discretion, and professionalism at all times
- Anticipate leadership needs and proactively offer solutions
Qualifications:
Required
- 2 years of administrative or executive assistant experience, preferably in hospitality or luxury environments
- Exceptional written and verbal communication skills
- Strong organizational and time-management abilities
- Proficiency in Microsoft Office Suite and/or Google Workspace
- High level of discretion and confidentiality
Preferred
- Experience in a luxury hotel, resort, or high-end service environment
- Familiarity with hotel management systems (PMS, procurement, or scheduling tools)
- Associate’s or Bachelor’s degree in Business, Hospitality, or related field
