Job Summary
The Human Resources Administrator will provide essential administrative and operational support to the HR department. This role ensures the smooth execution of daily HR functions, including employee recordkeeping, onboarding assistance, compliance documentation, scheduling, and general HR support. The HR Administrator plays a key role in maintaining accurate data, supporting employees, and promoting a positive and professional work environment.
Responsibilities
Employee Records & Documentation
- Maintain and update employee files, records, and HR data within the HRIS (e.g., Rippling).
- Ensure all employee documents are complete, accurate, and compliant with state and federal regulations.
- Assist in preparing employment letters, forms, and internal HR documentation.
Recruitment & Onboarding Support
- Post job openings, track applications, and assist in screening resumes.
- Coordinate interview schedules between candidates and hiring managers.
- Support onboarding duties: preparing new hire packets, collecting documentation, and assisting with orientation.
Administrative & Front Desk Support
- Manage front desk responsibilities, greeting visitors and clients with a friendly and professional demeanor.
- Operate phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
- Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools.
- Maintain organized filing systems—both physical and digital—for efficient document retrieval.
- Support office management tasks including scheduling appointments, calendar management, and coordinating meetings.
- Provide customer support by addressing inquiries via phone or email with professionalism and courtesy.
- Proofread documents for accuracy and clarity prior to distribution or submission.
- Handle clerical duties such as photocopying, scanning, mailing, and managing office supply inventory.
- Maintain a clean, welcoming, and well-organized front desk environment while ensuring all office equipment is functioning properly.
- Collaborate with team members to streamline administrative workflows and improve overall office efficiency.
General HR Support
- Assist the HR Generalist with day-to-day operations and HR projects.
- Prepare HR-related reports, updates, and metrics as directed.
- Maintain HR calendars, schedule meetings, and organize internal training sessions.
- Support payroll processing by gathering and verifying timesheet data.
Employee Relations & Engagement
- Serve as a first point of contact for employee questions regarding policies, procedures, and general HR information.
- Assist in coordinating employee engagement activities, events, and communications.
Compliance Support
- Help ensure HR processes align with company policies and federal/state employment regulations.
- Maintain strict confidentiality regarding employee information.
- Assist with audits and compliance reviews as needed.
Training & Development Assistance
- Support the scheduling of training sessions, maintaining attendance records, and organizing materials.
- Assist with company development programs and related communications.
Job Qualifications & Skills
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work collaboratively with others while also handling tasks independently.
- Strong organizational and time-management skills with the ability to meet deadlines.
- Basic understanding of HR practices, employment documentation, and administrative processes.
- Ability to always maintain confidentiality and professionalism.
- Proficiency with Microsoft Office and HRIS systems (experience with Rippling is a plus).
- Minimum 1–2 years of administrative experience; HR experience preferred.
- High school diploma required; Associate degree or HR coursework preferred.
- Bilingual in Spanish and/or Chinese preferred.
Physical Requirements
- Ability to remain in a variety of positions, including sitting, standing, squatting, and walking, for extended periods throughout the shift.
- Capability to lift, carry, and move objects weighing up to 50 lbs. as required by the role.
- Ability to consistently wear and properly utilize required Personal Protective Equipment (PPE) throughout the duration of the shift, including but not limited to steel-toed shoes, hearing protection, and protective eyewear, to ensure safety and compliance with health regulations.
