The Operations & Marketing Coordinator provides essential support across two core areas of
the business:
- Operations & Administrative Systems (primary focus)
- Marketing & Program Execution (secondary focus)
This role is designed to take ownership of recurring, detail-oriented tasks that keep the
business running smoothly and ensure consistent promotion of programs and events. By
supporting internal systems and execution, this position enables senior team members to
focus on revenue growth, partnerships, and strategic initiatives.
This role supports both the Director of Operations & Community and the ownership team,
with clearly defined responsibilities in each area.
Key Responsibilities
Operations & Administrative Support (60%)
- Process payroll and assist with staff scheduling systems (Gusto, Sling)
- Maintain internal calendars and scheduling tools (TripleSeat, Nexudus & Google Suite)
- Support day-to-day coworking operations and give tours
- Coordinate routine vendor communication and payments (entertainers, partners, etc.)
- Maintain operational checklists and recurring administrative processes
- Assist with internal organization, documentation, and system upkeep
Marketing & Communications Execution (30%)
- Schedule and publish social media posts based on provided content direction
- Build and send newsletters using provided structure and materials
- Maintain and update website calendar (Squarespace)
- Create and manage Facebook events and third-party listings
- Update in-venue signage and digital displays (OptiSign)
- Assist with printing and distribution of promotional materials
Program & Event Support (10%)
- Execute recurring program logistics using established systems and checklists
- Send confirmations and reminders to performers, hosts, and partners
- Assist with maintaining basic agreements and documentation
- Support coordination of routine program details (timing, basic setup needs)
This role supports execution of established programming systems. Strategy, pricing, and complex event coordination remains with senior team members.
Qualifications
- 1–3 years of experience in administrative support, marketing coordination, hospitality, or
similar fields.
- Strong organizational skills and attention to detail
- Comfortable working with scheduling tools, spreadsheets, and digital platforms
- Clear written communication skills
- Ability to manage multiple small tasks and deadlines consistently
- Reliable, proactive, and comfortable working across different areas of a small business
- Excited about being a warm ambassador for our business.
Experience in events, hospitality, coworking, or community-based organizations is a plus.
Spanish language skills are a plus.
