Position Overview:
The Executive Assistant supports a busy real estate agent and team leader. The ideal candidate is a natural organizer, a positive person with great communication skills (written and verbal), has strong attention to detail, excellent computer skills, a good sense of humor, and is a fast learner with a quick mind who likes to work hard and smart. This role offers seasonal flexibility with potential part-time hours from June through September.
This integral position combines administrative tasks, project management, client communications, and personal assistance. The successful candidate will excel at multitasking, thrive in a fast-paced environment, be willing to do whatever needs to be done, and is committed to enabling the agent to focus on high-priority tasks.
This is an experienced-level position requiring a relevant professional background.
Key Responsibilities:
1. Administrative Support
o Prepare, organize, and manage documents, contracts, and reports.
o Maintain and update client databases and CRM systems.
o Manage and maintain schedules, appointments, and calendars.
o Monitor contract timelines and ensure deadline compliance.
o Track and stay on top of all clients’ transaction statuses at all times.
2. Project Management
o Coordinate and oversee tasks with various independent contractors.
o Manage marketing projects and campaigns.
o Oversee inventory, storage and maintenance of property staging items.
o Ensure equipment and supplies are stocked and maintained.
o Conduct on-site visits to client properties as needed.
3. Client & Agent Communication
o Provide direct client communication, updates, and inquiry responses.
o Liaise with real estate agents and professionals.
o Schedule and coordinate property viewings and open houses.
4. Financial Management
o Maintain accurate financial records and expense tracking.
o Process invoices and payments.
5. Personal Support
o Assist with personal tasks, including scheduling appointments and making reservations.
o Conduct research and provide analysis on topics as needed.
o Handle delivery and pickup responsibilities as required.
Required Qualifications:
· 5 years proven experience as an office manager, project manager, executive assistant, or similar role.
· Exceptional organizational and multitasking capabilities.
· Excellent problem-solving and critical thinking skills.
· Very high attention to detail and accuracy standards.
· Strong technical proficiency, including Microsoft Office, G-Suite, and CRM software.
· Strong interpersonal skills.
· Ability to work independently with excellent time management.
· Flexibility to adapt to changing priorities.
· A positive attitude and great memory.
· Valid driver’s license and reliable transportation.
· Availability for occasional evening and weekend work.
Preferred Qualifications:
· Real estate industry experience strongly preferred.
· Real estate license (beneficial but not required).
· Minimum Bachelor’s degree or equivalent professional experience.
· Competency with image editing software.
