Job Overview
We are a busy, client-focused family law firm located in Edmond, Oklahoma. Our office handles divorce, custody, child support, guardianship, and other family-related legal matters. We are looking for a reliable and detail-oriented Receptionist to be the first point of contact for our clients and to provide strong administrative support to our legal team.
Key Responsibilities
Front Office & Client Relations
- Answer and route incoming calls promptly and professionally
- Greet clients and visitors, maintaining a calm and welcoming atmosphere
- Schedule consultations, meetings, and court dates
- Manage and confirm attorney calendars and client appointments
- Collect client intake information and update contact details
- Handle client inquiries with empathy, professionalism, and confidentiality
Administrative & Office Support
- Open, scan, and distribute mail, deliveries, and court correspondence
- Prepare, print, and assemble legal documents and case files
- Maintain organized filing systems for both physical and digital files
- Draft basic correspondence (letters, labels, and forms) as directed
- Manage office supplies and coordinate with vendors when restocking is needed
- Ensure office cleanliness and readiness for client meetings
- Assist with billing tasks, payment collection, and data entry
- Track deadlines and reminders for filing or discovery responses
- Handle outbound mail, certified mailings, and document deliveries
- Support paralegals and attorneys with hearing and trial preparation (printing exhibits, assembling notebooks, etc.)
Technology & Case Management
- Utilize legal management software (Clio) to update case notes and upload documents
- Assist in creating digital client folders and scanning signed documents
- Help manage Dropbox or other cloud file storage systems
- Maintain email correspondence organization and flag urgent messages for attorney review
Qualifications
- Prior experience as a receptionist or administrative assistant; legal office experience preferred
- Excellent communication and client service skills
- Strong organizational skills and ability to prioritize multiple tasks
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel)
- Experience with legal management software a plus
- Professional appearance and demeanor
- Discretion and ability to handle sensitive information
- Dependable and punctual with strong attention to detail
