Key Responsibilities
- Manage the Manager’s calendar, schedule appointments, and coordinate meetings.
- Handle email and correspondence by drafting, organizing, and prioritizing responses when appropriate.
- Prepare and organize documents, reports, and presentations for meetings.
- Coordinate travel arrangements and logistics when needed (including itineraries and confirmations).
- Track tasks, deadlines, and follow-ups using productivity tools (e.g., Google Workspace, Microsoft Office, Asana/Trello).
- Support with administrative operations, including data entry and maintaining accurate records.
- Assist with compiling information for operational updates, staffing needs, and management requests.
- Act as a point of contact for internal updates and meeting coordination.
- Maintain confidentiality of sensitive business and patient-related information.
- Perform other reasonable administrative duties to support the Manager’s priorities.
- Must be located in the USA (USA applicants only).
- Proven experience as a personal assistant, executive assistant, or administrative support role.
- Strong calendar management and scheduling skills.
- Excellent written and verbal communication skills.
- High attention to detail and ability to manage multiple tasks simultaneously.
- Comfort using productivity tools (Google Workspace and/or Microsoft Office, email management, document organization).
- Reliable internet connection and ability to work independently in a remote setting.
- Professional discretion and ability to maintain confidentiality.
- Experience in healthcare, dental, or administrative support within medical environments.
- Familiarity with HIPAA principles (preferred, not required).
- Experience with CRM or scheduling systems (e.g., dental practice software) is a plus.
- Proactive mindset with strong ownership of tasks and follow-through.
- Excellent organization, prioritization, and time management.
- Ability to adapt to changing schedules and urgent requests.
- Clear communication with a friendly, professional tone.
- Typical business hours (with flexibility as needed based on Manager’s schedule).
