An Orthodontic Financial Coordinator manages the financial lifecycle of patient accounts, bridging the gap between treatment plans, insurance coverage, and payment options. They are responsible for presenting costs, setting up payment contracts, billing insurance, and managing collections to ensure a steady cash flow for the practice. Coordinators are frequently the bridge between the clinical team, patients, and insurance providers, requiring effective multitasking and collaboration.
Key Responsibilities
- Treatment Presentation & Financing: Explaining and presenting treatment costs, reviewing financial options, and securing signed contracts (FCONS) with patients or parents.
- Insurance Management: Verifying orthodontic benefits, submitting claims daily, processing Electronic Remittance Advices (ERAs), and following up on outstanding claims.
- Collections & Billing: Managing accounts receivable, collecting patient payments, tracking down delinquent accounts, and managing third-party financing.
- Account Maintenance: Ensuring accurate financial reporting, managing deposits, and recording all financial discussions in the patient file.
Required Skills & Qualifications
- Insurance Knowledge: Deep understanding of dental/orthodontic insurance, including eligibility and limitations.
- Communication: Strong interpersonal skills to confidently discuss money and handle sensitive patient financial situations with kindness, empathy, and confidence.
- Software Familiarity: Experience with dental/orthodontic practice management software preferred but not required (e.g., Cloud 9).
- Organization: Detail-oriented, with the ability to manage complex payment plans.
- Solid Math Skills: Being comfortable with numbers and helping coordinate payment plans and calculate various plan options.
- Sales Skills: Comfort with presenting treatment plans and options and talking through financial matters. Being able to close on sales and present high-dollar treatment plans with confidence and comfort. Comfort working with 3rd-party finance solutions for patients.
Typical Qualifications
- High school diploma or equivalent
- Previous experience in sales and financial coordination (1–2 years required).
- Knowledge of dental or orthodontic treatment procedures is helpful but not required.
- Must be able to travel to our 3 Smile Spot locations ( Waldo, Midtown and Independence) and be available to work varied hours Monday-Friday between the hours of 8:00 am to 6:00 pm
- Bilingual English/Spanish is a PLUS
Pay Range: Starting at $21/hr based on experience
Opportunity to earn a production-based bonus
