As we grow, we’re seeking a dependable and organized Administrative Assistant to support daily operations and help ensure a positive experience for our clients.

Position Summary

The Administrative Assistant will serve as the first point of contact for clients, provide clerical and customer service support to our insurance agents, and help maintain a professional, efficient office. This role is critical in helping the agency run smoothly and uphold our standard of excellence.

Key Responsibilities

  • Greet clients in person and by phone with professionalism and warmth
  • Schedule appointments and manage calendars for multiple agents
  • Maintain accurate client records and update account information in the CRM system
  • Process incoming mail, emails, and phone inquiries
  • Assist with policy changes, billing questions, and claim support
  • Prepare and organize documents for client meetings
  • Support marketing campaigns, follow-ups, and community outreach projects
  • Perform general office tasks such as data entry, scanning, and filing
  • Ensure office cleanliness and readiness for client visits
  • Stay informed on industry regulations and product updates
  • Build and maintain strong client relationships to encourage loyalty

Qualifications

  • High school diploma or equivalent (Associate’s degree preferred)
  • 2 years of administrative, receptionist, or customer service experience (Preferred)
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication abilities
  • Positive attitude, reliability, and a strong attention to detail
  • Proficiency with Microsoft Office and comfort learning new software (Salesforce CRM experience preferred, but not required)
  • Experience in insurance or financial services (Preferred, but not required)
  • Bilingual skills (Preferred, but not required)
