Patient Scheduling Supervisor – San Antonio Vascular and Endovascular Clinic (SAVE)

SAVE's mission is to deliver high-quality, compassionate vascular care to the patients who need it most. As Scheduling Supervisor, you are the operational backbone connecting clinic access, surgical logistics, and the staff who make it happen day to day.
Flexible work scheduling and work-from-home options become available after successful completion of a 90-day on-site onboarding period with perfect attendance and demonstrated mastery of required tasks.
Role Overview
You directly supervise both clinic scheduling and surgery scheduling functions, ensuring every patient — across multiple providers, locations, and hospitals — gets to the right appointment or procedure at the right time. You are hands-on: stepping in to work the schedule yourself when coverage is short, and staying calm and decisive when a provider's availability changes without warning.
Key Responsibilities
- Directly supervise clinic patient schedulers and surgery schedulers, coordinating daily workflow across both functions
- Fill in personally on clinic scheduling, surgery scheduling, or referral intake whenever staffing gaps, call volume, or absences require it
- Participate in performance evaluations, coaching, and skill development for all staff performing scheduling activities
- Take ownership of overbooked and underbooked schedules — identifying root causes and correcting them before they affect patient care
- Monitor provider templates daily and adapt scheduling in real time when provider availability changes unexpectedly (illness, hospital delays, emergency add-ons), reprotecting patient access with minimal disruption
- Escalate and resolve high-impact scheduling conflicts across clinic, imaging, cardiac clearance, and surgical workflows
- Track scheduling accuracy, no-show/cancellation trends, and turnaround times; report patterns to clinic leadership
- Serve as the point of escalation for scheduling staff when a patient issue exceeds their authority to resolve
- Maintain accuracy across all EHR scheduling modules and task tracking systems
- Support onboarding and training of new scheduling staff

Qualifications
- 2–4 years of medical scheduling experience, including experience in both clinic and surgical/procedural scheduling
- Prior lead, supervisory, or training experience preferred
- Specialty or surgical practice background strongly preferred
- Comfort working in a constantly changing environment with frequent real-time schedule adjustments
- Proficiency in Microsoft Office programs (Word, Excel, Outlook)
- Must be able to reliably commute to the main Southside location at 603 E Amber St, San Antonio, TX 78221 (South of Military at Flores, across from 5 Diamonds Baseball Fields)
Pay: $23.00 - $27.00 per hour
