Events Coordinator (Contractor)
The Sage Group’s client is in search of an Events Coordinator. In this role, the candidate will be a project manager, logistics coordinator, copy editor, researcher, and event logistics expert. The ideal person is highly organized, works well with individuals at all levels, and will support events that further the organization’s goals, including large town halls, external conferences, speaker events, volunteer initiatives, and team-building activities. We are looking for a candidate that is positive and cares deeply about fostering an engaged and inclusive work environment.
Key Qualifications
- 1–2 years of event planning or project coordination experience in a fast-paced, customer-focused environment
- Exceptional attention to detail with a proactive approach to problem-solving
- Ability to drive projects from ideation to completion, contribute to the creative vision, translate ideas into tangible event elements, and create engaging attendee experiences
- Willingness to learn and embrace a variety of internal and external software applications, particularly Keynote, Pages, Box, Quip, and Webex
- Highly organized with the ability to work independently, manage multiple projects simultaneously, navigate ambiguity, and meet deadlines
- Strong interpersonal skills with the ability to build relationships and collaborate across all levels
- Marketing and communications experience is a plus
Responsibilities
- Provide project management and event support for the Employee Engagement & Communications team
- Manage event and editorial calendars
- Maintain a database and library of engagement assets, including speaker topics, talking points, employee biographies, headshots, and event photos
- Develop engaging events for heritage and history months, trainings, and other employee engagement initiatives
- Generate executive briefings and conference summaries
- Manage logistics for hybrid, in-person, and virtual events
- Create and manage event budgets and assets, including show flows and Keynote presentations
- Create and manage event registration, attendance reports, and post-event surveys
- Develop and execute event communications, including invitations, "Know Before You Go" communications, and post-event follow-ups
- Partner cross-functionally to deliver marketing assets across various communication channels, including email, internal websites, Slack, and digital displays
Location: Cupertino, CA – Hybrid (Tue/Wed/Thu) | Remote (Mon/Fri)

Compensation: $50.00/hour
