Position Summary
We’re looking for an Events Specialist who brings energy, organization, and a love for connecting with people. In this role, you’ll plan, coordinate, and run both virtual and in-person events that bring our clients together, build relationships, and help grow the firm. You’ll also lead client appreciation and referral programs that reflect TRS’s culture of care, gratitude, and doing things the right way. Every event you touch has the potential to make a real difference in our clients’ experience.
Key Responsibilities
- Plan, organize, manage, and execute virtual and in-person client and prospecting events.
- Coordinate client birthday gifts and PATs for client appreciation.
- Oversee and execute the market referral program.
- Manage event registration and follow-up in the CRM system.
- Track event inventory and order materials when appropriate.
- Communicate and establish partnerships with vendors (venues, marketing platforms, caterers, etc.) for client and prospecting event execution, including contract negotiation and cost management.
- Research and select appropriate venues and vendors for in-person events.
- Develop, manage, and track event budgets.
- Track and organize event data, reporting monthly ROI and identifying areas of opportunity by location, topic, presenter, and vendor.
- Write copy for event communications and manage the internal approval (DA) process.
- Collaborate with planners on event expectations, topics, and calendar adjustments.
- Collaborate with Planners, Associate Planners (APs), Client income Managers (CIMs), and Client Account Specialists (CASs) for event participation, setup, and execution - providing detailed guides and expectations for each participant.
- Oversee all day-of event logistics, including setup, break-down, registration, tech setup, and speaker support.
- Conduct post-event follow-up with presenters and staff to gather feedback and identify improvements for future events.
- Train new marketing staff and marketing assistants on marketing procedures, CRM usage, and the event organization and execution process.
Requirements
- High school diploma or equivalent required.
- 2 years of event planning experience.
- 1 year of public speaking or presentation experience.
- Proficiency in Microsoft Word, Excel, and electronic platforms or CRM systems.
- Highly organized, detail-oriented, personable, and friendly.
- Strong phone and communication skills; comfortable asking questions and clarifying details.
- Ability to lift up to 30 lbs, sit for extended periods, stand for moderate periods, and work at a computer for long durations.
Compensation and Benefits
- Salary range: $68,000–$80,000 per year, depending on experience.
