The Resource Exchange
Position Title: Respite Programs Assistant
Department: CMA
Reports to: Volunteer Respite Programs Manager
FLSA: Non-exempt
Supervisor responsibilities: N/A
Starting Rate: $17.23-17.85 per hour
General Description:
The Respite Programs Assistant provides critical support to TRE’s respite programs serving children and adults with intellectual and developmental disabilities (IDD) and their caregivers. This role collaborates closely with the Respite Programs Manager to ensure quality delivery, documentation, and coordination of program offerings. This position requires initiative, strong communication and organizational skills, and the ability to operate independently during program sessions.
Essential Duties/Responsibilities:
- Serve as a consistent point of contact for inquiries regarding respite services; provide accurate information and timely follow-up on available community-based respite options.
- Maintain detailed and accurate documentation for all family contacts and service requests in alignment with internal systems and compliance standards.
- Ensure up-to-date, accessible distribution of respite-related brochures and informational materials across TRE programs and partners.
- Provide on-site support during all respite sessions, including Friday, Saturday, and Sunday programming.
- Facilitate respite sessions independently when the Respite Programs Coordinator is unavailable; provide direction to volunteers and maintain a safe, engaging environment.
- Track family and participant attendance across sessions to support scheduling, communications, and data-driven program improvements.
- Assist in identifying and supporting the development of new group and individualized respite offerings to meet family needs.
- Manage inventory of supplies, maintain program storage bins, and ensure materials are transported and available at each session.
Other Duties/Responsibilities:
- Actively participate in All-Staff meetings, team check-ins, and other TRE-sponsored organizational events.
- Engage in required and ongoing professional development opportunities.
- Perform other duties and special projects as assigned to support program goals and departmental objectives.
Job Qualifications:
Knowledge, Skills and Abilities:
- Demonstrated understanding of the needs of families caring for individuals with disabilities, including sensitivity and empathy to their experiences.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to work with databases and document management tools.
- Strong written and verbal communication skills, including public-facing correspondence and documentation.
- Highly organized, detail-oriented, and capable of managing multiple priorities.
- Ability to work independently, exercise sound judgment, and ensure program responsibilities are executed efficiently.
- Strong interpersonal and collaboration skills with a team-oriented approach.
- Technological fluency in managing program communications, online directories, and resource tools.
- Resourcefulness in identifying and researching community services and respite opportunities.
- Familiarity with the Colorado Springs community and local service landscape is preferred.
- Ability to clearly communicate information, both orally and in writing, to diverse audiences.
- Comfortable using smartphones, tablets, and laptops in mobile and on-site work environments.
- Demonstrated problem-solving skills and ability to support decision-making processes.
Education and Experience Requirements:
Minimum:
- High school diploma or equivalent.
Preferred:
- Previous experience in program coordination, direct support services, or community-based outreach.
- Experience working with individuals with IDD or in family support roles.
- Bilingual abilities (English/Spanish) are a plus.
Material and Equipment Directly Used: Computers/tablets, Printers, Copy Machines, Personal Vehicle, Cell phones/telephone, Cloud based systems and software, etc.
Working Environment/Physical Activities: Office, community, private residences, commercial properties, and virtual environment settings. Moderate physical activity required, such as walking, sitting, standing, and lifting up to 20 pounds. A working vehicle, valid CO driver’s license (unless active Military family), and minimum insurance levels ($100,000/$300,000/$100,000 liability coverage) are required.
