We currently have an opportunity available for a friendly, welcoming, patient-focused, Patient Intake Coordinator to join our fast-growing behavioral practice.

As a Phone Intake Coordinator, you will play an integral part in our patient intake process as you will be the very first point of contact for our patients. In this important role, you will be answering our inbound phone calls, pre-screening newly referred patients, responding to patients’ text messages and routing patients to the proper department for questions and scheduling.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer patient phone calls in a timely, respectful, professional yet warm manner.
  • Conduct initial patient screening and gather relevant information to determine patient’s type of service and route call as appropriate.
  • Pre-screens new patients for initial assessment information to forward to Patient Intake Specialist.
  • Answers inquiries and questions, trouble shoots basic issues and provides information to patients.
  • Escalate phone calls to supervisor when appropriate.
  • Obtains and accurately captures demographic information and patient’s health insurance information provided by the patient or caller when needed.
  • Display enthusiasm and dedication to learning how to be more effective on the job and share knowledge with others.
  • Utilize texting software to assist in routing patients’ questions and concerns.
  • Other administrative duties as assigned.

REQUIRED QUALIFICATIONS:

  • High school diploma or GED required. Previous customer service experience desired. We will train the right personality for the skills needed to perform this crucial role.
  • Proficient in using software with good typing skills.
  • High comfort in a small call center setting.
  • Warm and friendly attitude.
  • Sound decision-making abilities.
  • Ability to prioritize work efficiently and effectively.

As a Patient Scheduler, you will play an integral role in our Patient Intake process for multiple sites. Using your exceptional customer service skills, you will schedule appointments appropriately for our patient’s procedures and follow up care by working collaboratively with our other Patient Intake team members to provide excellent service at every patient interaction and making sure our patients’ needs are completely met in a warm, caring, professional and timely manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Interact with a diverse base of patients and their loved ones while utilizing behavior that ensures a high level of patient care.
  • Make patients and their needs a primary focus of your actions by developing and sustaining great service.
  • Coordinate with other departments as necessary to ensure that the patients’ prearrival needs are fully met.
  • Establish and maintain excellent rapport with patients, coworkers, providers, and clinical team members.
  • Respond timely to customer inquiries sent via e-mail, mail, fax, chat as well as over the phone.
  • Ensures that accurate, complete, and thorough patient demographics are entered into the computer system, including insurance updates.
  • Identifies and communicates need for scheduling modification.
  • Notifying appropriate personnel of any scheduling change due to patient cancellation in a timely fashion.
  • Communicate perceived problem/issues to Supervisor or Manager
  • Perform on-site reception if needed.
  • Contribute to department operations by performing other duties as requested or assigned.

REQUIRED QUALIFICATIONS:

  • Diploma/GED required.
  • 1 year patient or healthcare scheduling experience.
  • Familiarity in entering patient demographics and insurance information.
  • Prior experience with data entry of practice management software.
  • Experience with texting, email, and phone interaction.
  • Excellent written and verbal communication, customer services, interpersonal and telephone etiquette skills.
  • Efficient problem analysis and problem-solving skills.
  • Must be comfortable with high volume phone interaction.
  • Ability to sit for extended periods of time.

PREFERRED QUALIFICATIONS:

  • Associates Degree or higher
  • Experience with texting software
  • Call center experience.

We are searching for a compassionate problem-solver who enjoys the challenge of scheduling/rescheduling multiple appointments compatible with both the patients and the clinic schedule. Someone who understands that suffering patients sometimes require more support than others and are adamant that all patients get the support and understanding they need.

Our scheduler performs a wide variety of functions all designed to foster smooth operations and ensure the extraordinary care that we at Remedy are proud of. They must thrive on the flexibility of filling in at the front desk as well as assisting our coordinator team with various tasks as they navigate the intake, insurance verification and prior authorization process.

The hours for this role is 7:30 a.m. to 4:00 p.m., Monday through Friday

Primary Tasks/Duties:

  • Schedule a series of Spravato, Ketamine and provider appointments which may consist of 10-15 appointments, confirming appointments via email
  • Reach out to patients, answer and respond to telephone calls promptly
  • Monitor patient appointments and referrals, immediately contacting patients when appointments must be rescheduled or re-submitting required forms/documentation
  • Immediately contact patients after missed appointments to reschedule and keep them on track in their series.
  • Responsible for entering data into various electronic systems, as well as maintaining the integrity and accuracy of the data
  • Carry out pre-procedure phone calls and confirm appointment times with patients via telephone or text
  • Assist the Coordinators with any tasks from patient intake, to insurance verification to the prior authorization process.

Front Desk Duties:

  • Answer telephones and direct calls to appropriate staff.
  • Greets patients upon arrival.
  • Check patient in on computer and provides patient with various forms and legally required documents.
  • Collects, scans, and updates all insurance information based on appointment type.
  • Collects co-pay, deductibles, and self-pay balances.
  • Scans documents into patients’ electronic records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Prepares for next day by printing various reports and forms.
  • Keeps Reception Desk and Lobby area clean and neat.

QUALIFICATIONS:

  • High school Diploma or GED required, some post High School Education preferred
  • 1 years Prior medical office experience (preferred)
  • Excellent interpersonal, organizational, and customer service skills
  • Professionalism, and a calm, caring attitude
  • Strong computer skills
  • Familiarity with electronic medical health records (preferred)
  • Strong time management skills and ability to work independently and effectively balance multiple tasks.

SKILLS:

  • Excellent communication, problem-solving, and organization skills
  • Strong interpersonal and patient advocate skills
  • Knowledge of Prior Authorizations a plus
  • Clerical or administrative experience a plus
  • Knowledge of health care terminology helpful
  • Basic computer program knowledge
  • Medical scheduling experience a plus

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
