Established family law firm seeking motivated and detail-oriented Legal and Administrative Assistant to join our team. This position works directly with potential clients, the Shareholders, attorneys of the firm, legal and administrative staff, as well as the marketing department, and requires the ability to keep all information confidential. Ideal candidates have great organization and time management skills, and a professional demeanor in interacting with potential clients, are able to work in a fast-paced environment while remaining focused on independent tasks and deadlines. Exceptional verbal and written communication skills, as well as keen analytical skills are a must.
Responsibilities and Duties
- Maintain strict client confidentiality
- Answering and screening initial inquiries from prospective clients and monitor all potential new client inquiries (email, internet, phone, and referrals) with urgency, professionalism, and compassion to determine prospective client legal needs
- Schedule and manage consultations including pre- and post-consultation communication
- Data entry and management across multiple software platforms
- Assist and support Marketing Department with client communication, social media content creation including short-form video editing, copy creation for newsletters, press releases, and blog posts
- Assist and support administrative staff with general reception tasks including answering phones and taking messages, mailroom tasks, document retention, coordinating document delivery and/or pickup, and covering the front office as needed.
- Assist and support legal staff with responsibilities including redacting documents, document management and organization
- Additional duties may include other tasks associated with business needs.
Qualifications and Skills
- 1-2 years of experience with a law firm or customer service preferred .
- Knowledge of Family Law strongly preferred
- Ability to communicate effectively, listen closely and convey questions and instructions clearly
- Strong attention to detail including data verification, document management, and organization
- Ability to manage multiple projects and provide consistent monitoring of prospective clients
- Ability to be coachable and receive constructive feedback
- Experience with Adobe, Canva, Later, Microsoft suite including Teams, Excel, Outlook, as well as Word, and Clio Grow preferred
