Violations Coordinator - Real Estate/Property Management
*There are two open positions: Harlem & Brooklyn*
We are seeking a highly organized Violations Coordinator to support compliance efforts across a real estate portfolio. This role is responsible for tracking, managing, and resolving building and regulatory violations while ensuring properties remain compliant with local agency requirements. The ideal candidate is detail-oriented, proactive, and experienced in navigating complex compliance processes.
Responsibilities:
Compliance Tracking & Management
- Monitor and track all compliance-related items across a portfolio, ensuring timely completion
- Coordinate required inspections including fire safety, boilers, elevators, sprinkler systems, and façade compliance
- Maintain accurate records of inspection schedules, certifications, and deadlines
Violations Resolution
- Manage the full lifecycle of violations from issuance through resolution and close-out
- Research and respond to violations issued by local agencies (e.g., building, fire, environmental, and housing authorities)
- Prepare and submit documentation required for violation removal and compliance
Reporting & Documentation
- Maintain detailed records and reporting on violations, compliance status, and resolutions
- Track progress and provide regular updates to internal stakeholders
- Ensure all documentation is organized, accurate, and audit-ready
Cross-Functional Coordination
- Partner with property management, facilities, and external vendors to resolve compliance issues
- Support communication with commercial tenants regarding lease compliance requirements
- Assist with administrative and operational tasks related to compliance initiatives
Qualifications:
- 2-4 years of experience in property management, compliance, expediting, or a related field
- Familiarity with building codes, regulatory compliance, and violation processes
- Strong organizational and multitasking abilities
- Experience managing permits, inspections, and violation removal processes
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Excellent written and verbal communication skills
- Detail-oriented
- Ability to manage multiple priorities in a fast-paced environment
- Problem-solver with a proactive mindset
- Strong interpersonal skills with the ability to work cross-functionally
Salary : $65,000 - $75,000
