What are the responsibilities and job description for the Personal Assistant position at The Project Pinball Charity Group, INC.?
Personal Assistant to the Senior Director
Help Bring Joy to Children and Families Across America
Are you someone who genuinely enjoys helping others, thrives in a dynamic environment, and finds purpose in meaningful work?
We are a nonprofit organization dedicated to placing pinball machines in children's hospitals and Ronald McDonald Houses throughout the United States. What may seem like a game at first glance becomes so much more—a source of joy, distraction, laughter, connection, and hope for children, families, and caregivers navigating difficult circumstances.
We're seeking a Personal Assistant to work directly with our Senior Director. This is not your typical assistant role. It is an opportunity to become a key part of a mission-driven organization while receiving hands-on mentorship, professional development, and exposure to nonprofit operations, fundraising, logistics, events, partnerships, and more.
Who We're Looking For
We're far less concerned about your resume than we are about who you are as a person.
The ideal candidate is:
- Kind, compassionate, and genuinely enjoys helping people
- Personable and comfortable communicating with individuals from all walks of life
- A strong listener who pays attention to details
- Quick-witted and able to adapt when priorities change
- Organized without being rigid
- Resourceful and proactive
- Comfortable asking questions rather than making assumptions
- Able to follow through on commitments and see tasks to completion
- Excited to learn and grow
About the Working Environment
You'll be working closely with a Senior Director who operates with a fast-moving, highly creative style. This also can include traveling throughout the country to assist in placing the pinball machines on location.
Ideas, projects, and priorities may come at you rapidly throughout the day. We need someone who can be "Johnny on the Spot"—someone who can quickly capture information, organize next steps, delegate when appropriate, and help ensure important details don't fall through the cracks.
Success in this role means:
- Keeping track of multiple moving pieces
- Prioritizing tasks effectively
- Following up consistently
- Asking clarifying questions when needed
- Helping turn ideas into action
- Preventing mistakes through thoughtful communication and attention to detail
If you're someone who enjoys bringing order to creative chaos and helping good ideas become reality, you'll likely thrive here.
Responsibilities
- Manage schedules, calendars, and appointments
- Track projects and deadlines
- Coordinate communications with hospitals, Ronald McDonald Houses, donors, volunteers, and partners
- Assist with travel arrangements and event logistics
- Organize notes, tasks, and follow-up items
- Help oversee administrative and operational projects
- Serve as a trusted right-hand person to the Senior Director
- Support special projects as they arise
Experience Requirements
No prior experience as a personal assistant is required.
No pinball experience is required.
In fact, many successful candidates may have neither.
What matters most is your attitude, willingness to learn, ability to communicate, and commitment to our mission. We can teach the technical aspects of the role. We cannot teach kindness, curiosity, work ethic, and heart.
What You'll Gain
- Direct mentorship from organizational leadership
- Opportunities to learn nonprofit management, fundraising, operations, and event planning
- Exposure to national partnerships and charitable initiatives
- Significant professional growth opportunities
- The chance to make a meaningful difference in the lives of children and families
Why This Work Matters
Every pinball machine we place becomes more than a machine.
It becomes a source of laughter during difficult days. A moment of escape during treatment. A reason for siblings to play together. A way for families to create memories when they need them most.
Long after installation day is over, those machines continue serving the children, patients, families, and caregivers who walk up and press the start button.
If that mission speaks to you, we'd love to hear from you.
To Apply
Tell us about yourself. Share your story, what excites you about this opportunity, and why you believe you'd be a great fit. Experience is welcome, but personality, character, willingness to learn, and enthusiasm matter just as much.
