Position Summary

The Pingry School seeks a highly organized, detail-driven, and mission-aligned professional to serve as Summer Auxiliary Operations Coordinator. This seasonal leadership role (approximately May 1–September 15, with full-time responsibilities during peak summer operations) serves as the operational bridge between the Human Resources department and Pingry's Summer Auxiliary Programs.

This position sits at the intersection of compliance, employment operations, and youth workforce management. The Summer Auxiliary Operations Coordinator ensures that every seasonal employee, from first-time student counselors to experienced program leaders, is fully onboarded, properly credentialed, trained, and accurately compensated. In doing so, the role protects institutional safety, financial integrity, and the smooth execution of the summer experience.

  • You are systems-oriented. You build checklists, meticulously track details, reconcile discrepancies, and take pride in ensuring nothing falls through the cracks.

Core Responsibilities

Compliance Management & Onboarding Concierge

  • Serve as the primary technical support for seasonal hires, providing hands-on guidance for the ADP mobile interface and troubleshooting onboarding hurdles for a youth-heavy workforce.
  • Ensure 100% completion of onboarding requirements before Day 1.

Regulatory Oversight

  • Execute a comprehensive compliance checklist for all hires, including minor working papers (A300), universal background screenings, fingerprinting, and NJ Sexual Misconduct disclosures ("Pass the Trash").
  • Conduct proactive age-status audits to identify returning staff who have turned 18 and ensure immediate transition to the adult background screening pathway.

Safety & Training Verification

  • Oversee the mandatory training dashboard (Vector Solutions), ensuring full completion of Bloodborne Pathogens and other required modules before staff arrival on campus.
  • Maintain documentation demonstrating compliance readiness for audit purposes.

Operational Integrity & Resource Gatekeeping

  • Conduct on-site compliance checks at the launch of each camp session to verify that all active staff are cleared to work and accurately reflected in payroll records.
  • Serve as the centralized administrative gatekeeper, ensuring Program Director requests for Technology, Facilities, and Dining follow established chains of command and timelines.
  • Enforce "No Clearance, No Work" and "No Onboarding, No Pay" policies with professionalism and consistency.

Payroll & Data Administration

  • Aggregate and reconcile multiple payroll streams, hourly time clocks, fixed stipends, and variable enrollment-based pay to ensure accuracy before submission to HR Services.
  • Maintain Greenhouse as the definitive system of record for all summer hiring data.

Qualifications

  • Experience & Education: Bachelor's degree or equivalent experience in Human Resources, Business Operations, or Educational Administration.
  • High-Volume Seasonal Expertise: Proven success managing large-scale seasonal surges (100 staff) in environments such as schools, major theme parks (e.g., Six Flags), recreational resorts, or youth-focused organizations.
  • Institutional Familiarity: Previous experience in an academic or school setting is highly preferred, with an understanding of the specific liability and protocol needs of a campus environment.
  • Data Mastery: Advanced proficiency in Microsoft Excel and Google Sheets, with a natural aptitude for cross-referencing complex datasets and spotting inconsistencies.
  • Exceptional Diplomacy: The ability to remain patient and mentoring with teenagers while being resilient and assertive with adult supervisors who may resist administrative protocols.
  • Detailed Intelligence: A "detail-detective" mindset with a high degree of accuracy and a commitment to "checking the box" for every compliance requirement.
  • Reliability: The ability to manage a fluctuating seasonal workload that peaks significantly between May and August.

This is a seasonal role requiring a ramp-up period in April and May, moving to near full-time hours during the peak months of June, July, and August. Frequent travel between Basking Ridge, Short Hills, and Pottersville campus locations is required to conduct on-site audits and provide in-person support to camp staff.

Compensation range: $12,000 - $20,000, commensurate with experience in high-volume seasonal workforce operations. Final compensation will be determined based on experience and education.
