The Panther Group is seeking a highly organized and professional Administrative Coordinator for a 6-month consulting opportunity supporting a leading university in Boston, MA. This is a fully onsite role supporting the Communication Sciences & Disorders Department in a fast-paced academic and clinical environment.
This is an excellent opportunity for an experienced administrative professional who enjoys coordinating operations, supporting leadership, interacting with students and faculty, and managing multiple priorities in a collaborative environment.
Key Responsibilities
- Provide administrative support to department leadership and faculty
- Manage calendars, scheduling, meetings, and travel coordination
- Coordinate departmental operations and daily office activities
- Prepare meeting agendas, take meeting minutes, and manage follow-up actions
- Support student employee recruitment, onboarding, training, and supervision
- Handle department phone lines, email communications, and guest reception
- Coordinate department events, admissions tours, conferences, and special projects
- Maintain office records, policy documentation, SharePoint files, and department materials
- Manage office supplies, shipping/receiving activities, facilities requests, and equipment coordination
- Assist with Concur expense tracking and reimbursement coordination
- Support student tracking, compliance documentation, licensing requirements, and accreditation reporting
- Coordinate with students, faculty, external institutions, and university departments
- Support operations within the Speech-Language and Hearing Center as needed
- Provide exceptional customer service while maintaining confidentiality and professionalism
Qualifications
- Associate degree required; Bachelor’s degree preferred
- Previous administrative assistant or administrative coordinator experience required
- Strong organizational, multitasking, and communication skills
- Proficiency with Microsoft Office including Outlook, Word, Excel, and Adobe
- Ability to work independently and collaboratively in a fast-paced environment
- Experience handling confidential information with professionalism and discretion
- Comfortable interacting with students, faculty, leadership, and external partners
- Higher education experience strongly preferred
- Experience with SharePoint and Concur preferred
- Healthcare or clinical office experience is a plus
