Education/Experience Requirements:
- Bilingual - Spanish (REQUIRED)
- Construction admin experience (Preferred)
- Data entry/filing
A high school diploma is preferred.
Good communication skills and the ability to work well with people are essential.
Familiarity with computer applications is beneficial.

Expectations and Responsibilities:
Daily
- Provide current project updates in computer-based project management system
- Establish and develop relationships with hotel and lodging locations throughout applicable service areas while communicating with Project Superintendents to reserve all hotel accommodations necessary due to project travel requirements.
- First point of personal contact for external visitors by managing foot traffic into the building and identifying visitor need while routing to the appropriate contact within the company.
- First point for all callers by managing phone system while identifying needs and routing to the appropriate contact within the company.
Weekly
- Receive, document (log) and distribute 2 week look ahead schedules material needs and equipment lists
- Updates and compiles standard reports generated from the computer-based project management system
- Distributes reports generated from the computer-based project management system to the COO, CSO, Project Manager, Project Technician, Superintendent Training and Development Officer, project Superintendent and project file
- Attend Strategic Production Meetings, prepare meeting minutes/notes and distribute
- Prepare out-of-town project superintendent return envelopes
- Maintain project list, update database, compile information and distribute
Monthly
- Manage, gather and complete all project prequalification documents as requested by the Estimating Business Unit in a timely and accurate manner.
- Schedule and prepare monthly draft invoices for project manager review
- Prepare and distribute final monthly invoices
- Prepare and compile lien releases and supporting documentation as required by contract documents
- Verify/reconcile subcontractor invoice with payment, checks and lien releases
- Maintain backlog database, report compilation and distribute
As Required (per Project)
- Setup project tracking and documentation manual.
Salary : $18 - $22
