The Front Desk Receptionist serves as the first point of contact for clients and visitors to our firm. This position is responsible for providing professional customer service, knowledge of our services, and ensuring our clients are taken care of. Highlighted Responsibilities
- Answer and direct incoming phone calls promptly and courteously.
- Receive, sort, distribute, and prepare incoming and outgoing mail and deliveries.
- Assist clients with document drop-offs, pickups, and general inquiries.
- Maintain client confidentiality and handle sensitive financial information with discretion.
- Manage the reception area, conference rooms, and common office spaces to ensure a professional appearance.
- Scan, file, and organize client documents, both electronically and in paper formats.
- Assist with tax season administrative support
- Prepare correspondence, reports, and other administrative documents as requested.
- Support firm staff with general administrative duties and special projects.
- Maintain accurate records and update client information in the firm's database.
- Receive and send faxes.
- Retrieve and respond to voicemail.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Previous receptionist, administrative assistant, customer service, or office support experience required.
- Experience in a CPA firm, accounting office, financial services firm, or professional services environment is a plus.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams).
- Experience with document management systems and accounting or tax software is beneficial. Drake Software knowledge is preferred.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to work independently and maintain professionalism in a fast-paced environment.
- Strong attention to detail and commitment to confidentiality.
