As a member of the Client Service Team, the Administrative Client Service Associate supports the firm’s overall operational efficiency and the client experience. Strong Communication skills and a professional demeanor are a must. The position supports other team members throughout the office to provide exceptional service both internally and externally. This position is the positivity advocate in our firm.
The Client Service Associate can expect to focus in the following areas:
· Answer all incoming phone calls and route as needed
· Greet all clients and visitors upon entering the office with an upbeat and positive attitude
· Communicate with clients, verbally and in writing
· Deliver superior client service—troubleshoot problems, schedule and organize meetings; serve as liaison between Advisor and client as needed
· Manage client information – Inputs and maintains accurate client information and paperwork in all appropriate systems and technology and file locations
· Interaction with Charles Schwab Service Team regarding client accounts
· Monitor and work to resolve daily account alerts
· Monitor incoming account transfers
· Provide support to advisors as needed or requested
· Manage Advisor Calendars (client meetings, conference room,)
· Assist in the preparation of client reports as needed
· Keep all client data current and in good order in Wealthbox CRM
· Proactively maintain all office equipment: supplies and service
· Maintain/order all office supplies
· Prepare conference room for client meetings, ensuring desired refreshments are available and conference room is presentable
· Assist Office Manager with planning and executing client events
· Prepare and send paper and digital NSG Monthly Insight
· Liaison between NSG and Franklin Square Management Co.
Qualifications
· Client first attitude
· Associates Degree, Bachelor’s Degree (a plus),
· Proficiency in Word, Excel, PowerPoint, Outlook, CRM software
· Must be organized, detail-oriented and able to multitask and work unsupervised
· Good written and verbal communication skills
· Team player, collaborative, able to work with and through others
· Desire/ability to work successfully in a small company environment
· Self-Starter, energetic, assertive
· Strong written and verbal communication skills
