Summary

The Events Manager supports the mission of The Museum of Flight by leading the planning, coordination, and profitability of private events throughout the year, ranging from intimate gatherings to large-scale experiences. This role provides leadership across all aspects of event promotion, sales, planning, and execution, while managing and developing a team responsible for producing meetings, conferences, corporate receptions, dinners, private celebrations, Museum Premium Experiences, and Group Sales reservations. The Events Manager is responsible for driving business growth by securing potential local, national, and international clients, achieving departmental goals, and enhancing the overall guest experience. Success in this position requires strong leadership, cross-functional collaboration, and the ability to effectively coordinate with a wide range of internal and external stakeholders to ensure exceptional customer service from initial inquiry through event completion.

  • Responsible for generating event business by securing new clients, maintaining client and vendor relationships, and achieving or exceeding sales goals established by leadership through proactive outreach, networking, and strategic event sales initiatives.
  • Plan and execute Museum sponsored events and experiences; assist in creating new revenue generating events surrounding museum-wide initiatives.
  • Oversee all aspects of event planning and execution, including coordinating with clients, internal Museum departments, and external vendors to ensure seamless delivery.
  • Serve as the primary resource for internal events, providing guidance, logistical recommendations, and resources to ensure seamless execution.
  • Supervise, coach, and develop assigned staff by setting expectations, assigning and reviewing work, providing regular feedback, evaluating performance, supporting professional development, and addressing performance or conduct concerns in alignment with Museum policies and operational needs.
  • Develop, manage, and track assigned operating and project budgets, including forecasting resource needs, monitoring expenditures, identifying variances, and recommending adjustments to support operational priorities and fiscal accountability.
  • Track and report events revenue performance against established sales goals on a consistent cadence, providing leadership with actionable insights to support strategic decision-making.
  • Collaborate with Museum leadership to develop strategic community partnerships that advance and support the Museum’s mission.
  • Coordinate with the Marketing department to develop and create advertising, promotions, collateral materials, and website presence for events.
  • Manage the Museum-wide calendar of events, ensuring accurate scheduling, coordination, and communication with internal and external stakeholders.
  • Represent the Museum at industry events, conferences, and external sales functions to build relationships, increase visibility, and generate new business opportunities.

Qualifications

Education & Experience

  • A Bachelor’s degree in Hospitality, Event Management, Business, or other relevant field. An equivalent combination of education, training, and related experience may be considered in lieu of degree.
  • Five (5) years of experience in sales, event management, and customer service in a large venue or museum required.
  • Two (2) years of experience supervising staff is required.
  • Experience overseeing event vendors and external service providers is required
  • Planning, budgeting, and forecasting experience is required.


Knowledge

  • Knowledge of Outbound and TripleSeat or similar software is preferred.
  • Knowledge of annual budgets process


Skills

  • Effective planning and organizational skills; able to prioritize and plan work activities; uses time efficiently and develops realistic action plans; initiative to improve processes.
  • Demonstrated excellence in written and verbal communications skills with strong attention to detail.
  • Computer proficiency in Microsoft Office/365.


Abilities

  • Demonstrates a strong customer service mindset with a high level of dependability.
  • Ability to demonstrate management of multiple, parallel projects, and competing priorities.
  • Demonstrated ability to make independent, timely, and sound decisions in high-pressure environments.
  • Proven ability to foster respectful communication and collaboration with diverse audiences.

Work Environment

  • The general schedule for this position is Monday – Friday, 8am – 5pm. This position requires a flexible schedule, including regular weekend, evening, and variable hours based on Museum needs.
  • Occasional local and out-of-town travel may be required
  • Professional attire is required.

  • Occasional lifting of items up to 30 pounds with assistance.
  • On-site attendance is essential to perform the duties of this position.
  • This position occasionally requires bending, carrying, reaching in multiple directions, pushing, pulling, walking, standing, twisting, and squatting in a standard work environment.
  • Ability to navigate and move throughout the Museum campus, including occasional outdoor activity in varying weather conditions.

The Museum of Flight offers full-time employees a generous and comprehensive benefits package which includes medical, dental, vision, flexible spending accounts, a 403(b) retirement plan with a 5% match after 1 year of service, Employee Assistance Program, as well as company paid life insurance, Accidental Death and Dismemberment, and long-term disability.

Paid-Time Off

Our paid time-off plans include 2 weeks of accrued sick leave and 2 weeks of vacation (80 hours each) per year, 10 paid holidays, and 2 floating holidays.

Compensation

The hourly range for this position is $31.50 to $43.50 depending on experience.

A multitude of factors will determine a fair salary based on the following: scope of role within the organization, years of relevant experience, specific skills, and evaluation of capability to execute in role successfully (among other critical factors).
