We are seeking a Bilingual Executive & Production Assistant to directly support Lorena (CEO, Playdate Producer & Host) in a dynamic hybrid role combining executive support, guest relations, and on-set production assistance. This role is ideal for someone who thrives in creative chaos and fast paced environment, is highly organized, loves working with talent and content creators, have excellent communication & time management skills, and is passionate about supporting joyful production experiences.
Primary Responsibilities:
Executive & Guest Support
- Manage Lorena’s calendar, scheduling, and daily priorities
- Facilitate guest communication via email and text
- Track guest confirmations, forms, bios, scheduling, and prep materials
- Draft, send, and follow up on guest emails, reminders, and thank-you notes
- Serve as the primary contact for Playdate guests before, during, and after tapings
- Prepare and distribute guest itineraries, releases, and callsheets
Podcast & Production Support
- Assist with Playdate studio / game setup and teardown
- Greet guests upon arrival and support their comfort and experience
- Support Lorena during recordings with timing, cueing, and show needs
- Capture behind-the-scenes photos and short videos on smartphone for archive and socials
- Prepare props, games, and items needed for episode content
- Manage guest hospitality areas
Day-of Show Support
- Order and set up lunch, snacks, and beverages for guests and team
- Ensure studio and guest areas are tidy, welcoming, and stocked
- Monitor schedule and assist in keeping the day on track
- Handle last-minute needs with resourcefulness and calm
Production & Administrative Tasks
• Maintain guest lists, production trackers, and episode schedules
- Take meeting notes and distribute action items
- Assist with podcast ideas, run-of-show documents, and planning
- Coordinate with vendors and manage production purchases
- Submit expenses, invoices, and receipts in a timely manner
- Schedules and coordinates meetings, assist with AV and video conferencing needs, prepare meeting materials
- Required Qualifications
- 1-2 years Executive Assistant experience, Production Assistant, or similar
- Native Spanish / Professional Proficiency
- Should possess strong proficiency with MS Office Suite (Outlook, Word, Excel & PowerPoint, Keynote), Google
- Suite (Docs, Slides), Zoom, and Slack
- Comfortable interacting with talent, creatives, and VIP guests
- Positive, professional attitude and exceptional communication skills
- Organized with the ability to prioritize, meet deadlines, and multi-task
- Motivated, resourceful, creative, and a problem solver
- Self-Starter. Able to act in a proactive manner and solve challenges with limited direction
- Must be trustworthy and able to handle confidential and sensitive information
- Must possess a high level of intellectual curiosity and a willingness to look beyond surface requirements
- Salary range: $25 / Hour; Part-Time
- This is a part-time position, This is a non-remote, in-office based position. The office is in Studio City, CA - the candidate must commute to work daily. No relocation stipend offered.
