Intellectual Property Support Professionals
Two Openings – One Posting
A well-established law firm is seeking experienced Intellectual Property professionals to support its fast-paced IP practice serving both its Phoenix and California offices.
This posting represents two separate positions:
- IP Legal Administrative Assistant (On-site / possible hybrid)
- IP Docketing Specialist – Foreign Patents (Remote)

Position 1 – IP Legal Administrative Assistant
Location: On-site (possible hybrid)
Overview
Support attorneys, patent agents, and paralegals in a fast-paced Intellectual Property practice.
Key Responsibilities
- Prepare, proofread, and file patent and trademark documents with the United States Patent and Trademark Office and foreign IP offices
- Manage IP calendars and critical filing and renewal deadlines
- Maintain electronic case files and IP docketing systems
- Coordinate attorney schedules and client communications
- Process billing, time entries, and provide general administrative support
Qualifications
- 4 years of legal administrative experience; Arizona and California IP experience preferred
- Familiarity with USPTO systems, PCT filings, and foreign IP procedures a plus
- Strong organizational skills, attention to detail, and ability to manage deadlines
- Proficiency in Microsoft Office and legal/IP docketing software
Position 2 – IP Docketing Specialist – Foreign Patents
Location: Remote
Overview
This role is critical in managing and maintaining accurate records for intellectual property matters, ensuring deadlines and legal requirements are met while supporting attorneys, paralegals, and staff.
Key Responsibilities
- Review and process incoming foreign patent correspondence (emails, mail, packages) to identify and record deadlines
- Maintain and update docket records using IP docketing software (e.g., CPI or equivalent)
- Assign deadlines and response times for foreign patents, ensuring compliance with legal requirements
- Monitor deadlines and generate weekly reports for attorneys and paralegals
- Process lateral attorney and client file transfers while maintaining docket accuracy
- Create and update process documentation and training materials related to docketing procedures
- Collaborate with attorneys and staff to streamline workflows and ensure smooth operations
Experience & Qualifications
- Minimum 5 years of experience in foreign patent docketing or related IP legal support roles
- Strong background in Intellectual Property law and procedures
- Proficiency with docketing software and familiarity with foreign IP laws and deadlines
- Exceptional organizational and time management skills
- High attention to detail and accuracy in handling large volumes of data
- Excellent written and verbal communication skills
Compensation & Benefits (Both Roles)
- $70,000 – $75,000, DOE
