Summary:
A hands‑on role responsible for managing employee security access, issuing badges, coordinating office and desk moves, and maintaining compliance with building and safety requirements. Oversees office and kitchen supply ordering, vendor scheduling (HVAC, electrical, plumbing), cleaning coordination, and COI/permit compliance including FDNY and safety certifications. Supports meeting setups, AV needs, evacuation drills, and maintains strong relationships with building management. Requires 3–5 years of facilities experience, strong communication skills, Microsoft Office proficiency, and the ability to work independently in a fast‑paced environment; bilingual skills and an associate degree are preferred.
Responsibilities:
- Manage security access database for all employees
- Issue and update security cards in coordination with building super corporate employees
- Place orders for office and kitchen supplies
- Manage expenses for supplies purchased in Concur
- Coordinate office cleanings with the vendor in compliance with CDC guidelines
- Schedule and manage work with office vendors including HVAC, Plumbers, Electricians to ensure
- Liaise with team members to ensure office areas are kept neat
- COI compliance with the building
- Coordinate office and desk moves for employees as needed
- Place orders as needed for domestic factory shipping supplies
- Develop and maintain a working relationship with building maintenance team
- Ensure compliance for all required HVAC permits with the FDNY along with other certifications (e.g. fire extinguisher inspection)
- Setup & breakdown chairs and AV equipment for large office meetings & presentations
- Manage periodic evacuation and safety training for employees
Qualifications:
- 3-5 years of experience working in a facilities capacity
- High school, GED equivalent required; associates degree or greater preferred
- Proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills; bilingual is preferred
