What are the responsibilities and job description for the Business Systems & Data Coordinator position at The Merrow Group Companies?
Merrow Superior LLC, part of the Merrow Group, is seeking a curious, organized, and data-driven Business Systems & Data Coordinator.
This is a hands-on, business-facing role focused on helping our people, systems, data, reporting, and customer communications work better together.
The person in this role will support the implementation and adoption of the ERP, improve customer and contact data, assist with CRM and automated marketing, help employees solve daily system and workflow problems, and turn reporting into practical business action.
This is not a traditional IT help-desk, software-development, or engineering position. We are looking for someone with strong technology fluency, confidence working with data, and the ability to learn quickly, support users, and drive issues through completion.
A capable recent college graduate or early-career professional may be an excellent fit.
Key Responsibilities
Systems and ERP Support
- Support ERP preparation, testing, training, implementation, and user adoption.
- Help document business processes and identify gaps, inconsistencies, and improvement opportunities.
- Assist with data preparation, validation, reconciliation, imports, exports, and user testing.
- Translate employee needs and operating problems into clear requirements or issue descriptions.
- Help users understand systems, workflows, reports, and data-entry expectations.
- Track open system and process issues and coordinate with outside or internal technical resources when needed.
- Document important system knowledge so it is shared and does not depend on one person.
Data, CRM, and Customer Information
- Improve the quality, completeness, and usefulness of customer, account, and contact data.
- Clean, combine, filter, validate, reconcile, and organize data from different sources.
- Identify duplicate, outdated, incomplete, or inconsistent records.
- Classify contacts by business role and maintain accurate customer lists and segments.
- Support ERP / CRM adoption, and automated customer communications.
- Prepare and validate lists for dealer incentives, email campaigns, and account-level outreach.
- Identify inactive or disengaged customers and route them for follow-up.
Reporting and Business Follow-Through
- Produce, review, and interpret recurring business, sales, service, and marketing reports.
- Use data to identify trends, exceptions, missed opportunities, inactive customers, and incomplete information.
- Summarize findings in a practical format with clear owners and next actions.
- Maintain action lists so important issues are followed through and resolved.
- Improve reports when current information is incomplete, unclear, or not useful.
- Use AI and other tools appropriately to support analysis, documentation, and execution.
Process Improvement and User Support
- Identify areas where people, systems, data, or procedures are not aligned.
- Provide practical, hands-on support and training to employees.
- Create simple instructions, standards, and repeatable workflows.
- Improve coordination across sales, customer service, operations, marketing, finance, and leadership.
- Help establish stronger discipline around data entry, system usage, issue resolution, and follow-through.
What We Are Looking For
The strongest candidate will be data-driven, organized, curious, practical, and comfortable working with both people and technology.
You do not need to be a programmer, engineer, or deeply technical systems expert. You do need genuine technology fluency and data literacy, including the confidence to independently organize, move, clean, validate, manipulate, and interpret data.
Coursework, internships, campus projects, independent work, or early professional experience may qualify when they demonstrate practical technology, data, and problem-solving ability.
Successful candidates should demonstrate:
- Strong spreadsheet and data-management skills
- Confidence cleaning, combining, filtering, validating, and reconciling data
- Technical curiosity and comfort learning unfamiliar systems and tools
- High comfort using AI responsibly for business work
- A builder mentality and the instinct to create repeatable processes
- Strong organization, attention to detail, ownership, and follow-through
- The ability to identify patterns, inconsistencies, and missing information
- Clear communication and patience when supporting users
- The ability to manage multiple open issues and drive them through completion
- Sound judgment about when to solve a problem directly and when to escalate it
A specific degree is not required when a candidate can demonstrate the necessary aptitude and working style.
Helpful Experience
Experience in one or more of the following areas is helpful but not required:
- ERP, CRM, marketing-automation, or business-reporting systems
- ERP or software implementation support
- Customer, account, or contact data cleanup
- Data imports, exports, validation, segmentation, or reconciliation
- User training, workflow documentation, or process improvement
- Excel, Power Query, Power BI, or similar tools
- HubSpot, Salesforce, Mailchimp, Constant Contact, or similar platforms
- Wholesale distribution, manufacturing, or another operations-heavy business
Prior ERP experience is helpful but not required. The ability to learn systems and understand business processes is more important.
What Success Looks Like
Within the first several months:
- ERP preparation, testing, training, and adoption are well organized.
- Customer and contact data is cleaner, more complete, and better structured.
- Employees receive faster and more practical systems support.
- CRM and marketing activity uses cleaner data and better segmentation.
- Reports produce clear insights, owners, and next actions.
- Open system and process issues are tracked and resolved.
- Important systems knowledge is documented and shared.
Working Style
This is a hands-on, in-office role. The successful candidate should be comfortable reviewing data, sitting with employees, testing workflows, solving practical problems, documenting processes, and coordinating work across departments.
The right person will enjoy bringing structure to messy situations and making technology more useful to the people operating the business.
