The Fleet Manager is responsible for overseeing all company-owned and leased vehicles to ensure safe, efficient, and cost-effective operations. This role manages fleet maintenance, compliance, scheduling, procurement, and inspections, while partnering closely with Logistics, Operations, and Safety teams. The Fleet Manager ensures all equipment is in optimal condition, coordinates repairs, and upholds standards that support operational efficiency and safety.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES:
- Manage the full lifecycle of the company’s fleet, including acquisition, scheduling, maintenance, repair, and disposal.
- Ensure all vehicles comply with federal, state, and local regulations, including DOT requirements, inspections, and safety standards.
- Develop and implement preventative maintenance schedules to reduce downtime and prolong vehicle lifespan.
- Maintain accurate fleet records, including registrations, insurance, mileage logs, fuel usage, service history, and licensing.
- Monitor fleet performance metrics and identify opportunities to reduce costs, improve utilization, and enhance efficiency.
- Coordinate with internal departments to support operational needs, including driver assignments, routing, and vehicle availability.
- Oversee relationships with external vendors, service providers, leasing companies, and repair shops.
- Conduct regular vehicle inspections to ensure safety, cleanliness, and operational readiness.
- Develop, update, and communicate fleet policies and procedures, including safety protocols and vehicle use guidelines.
- Manage GPS/telematics systems and analyze data to identify unsafe driving behaviors, fuel waste, or maintenance alerts.
- Assist with budgeting and forecasting for fleet expenses, including fuel, repairs, and replacements.
- Ensure timely handling of accident reports, damage claims, and insurance documentation.
- Train team members on proper vehicle operation, safety standards, and company driving procedures.
NON-ESSENTIAL JOB DUTIES & RESPONSIBILITIES:
- Assist with logistics planning or routing during peak operational periods or staff shortages.
- Support special projects related to operations, warehousing, or continuous improvement initiatives.
- Participate in company events, committees, or safety programs as needed.
- Perform administrative duties not directly tied to fleet management.
PHYSICAL DEMANDS & WORK ENVIRONMENT:
- Frequent walking, standing, and inspecting vehicles in indoor/outdoor environments.
- Occasional lifting of up to 30 lbs. for equipment, tools, or vehicle parts.
- Ability to sit for extended periods while driving or performing administrative tasks.
- Exposure to warehouse and production environments, including varying weather conditions.
- Regular use of computers, phones, and fleet telematics systems.
- Occasional travel between company locations or vendor sites.

EDUCATION & EXPERIENCE:
REQUIRED:
- High school diploma or equivalent
- 3–5 years of experience in fleet management, logistics, transportation, or related field
- Valid driver’s license with clean driving record
PREFERRED:
- Associate or bachelor’s degree in Logistics, Business, or related discipline
- Experience with DOT-regulated fleets
- Prior experience in manufacturing or distribution environments
- Experience with fleet management software and telematics systems
ADDITIONAL INFORMATION:
- May supervise drivers or maintenance personnel, depending on department structure.
- May require occasional travel for training, inspections, or vendor coordination.
- Other duties may be assigned as operational needs evolve
