The Development Associate provides essential administrative and operational support to the Development and Finance team, playing a key role in sustaining the funding that drives LESGC's programs and mission. This role maintains accurate, up-to-date records in Salesforce, ensures compliance with City, State, and Federal government grant requirements, and supports the timely submission of grant proposals, reports, and donor acknowledgments. The ideal candidate brings hands-on experience with Government Grants Administration and Salesforce, with Instrumental and GoFundMe Pro experience strongly preferred, and thrives in a detail-oriented, deadline-driven environment.
Government Grants Administration & Compliance
- Serve as a key resource for Finance and Development on grant portal matters
- Gather, organize, and maintain documentation required to support compliance with City, State, and Federal grant requirements, including contracts, budgets, invoices, programmatic records
- Navigate and manage data entry and reporting within government grant portals (e.g., PASSPort, Grants Gateway, SFS, or funder-specific systems)
- Maintain an organized filing system (digital and physical) for all active and closed government grants, ensuring records are accessible and retained
- Stay current on changes to government grant regulations and compliance requirements
Grants Management
- Support the project management of foundation grant proposals and reports
- Track and organize the multiple components required for complete, accurate submissions (narratives, budgets, attachments, signatures)
- Monitor all grant deadlines and flag upcoming due dates on google calendar
- Complete and process administrative paperwork for foundation, corporate, and government grants
- Review executed grant agreements to identify all deliverables and reporting requirements, entering key dates into the grants calendar
- Manage deliverables spreadsheet
Database Management
- Maintain Salesforce for all development activity, including:
Tracking & recording individual, corporate & foundation donations accurately and in a timely manner
Entering new grants and donation records promptly
Running and pulling regular reports in Salesforce to track fundraising and donor activity
- Manage grant tracking and prospecting in Instrumental and Google Calendar, including:
Keeping grant opportunity records, deadlines, and funder information up to date
Prospecting to identify and track new funding opportunities
Donor Acknowledgment Support
- Support donor acknowledgment process, ensuring acknowledgments are accurate and timely
- Help develop and maintain acknowledgment templates for general donations, programmatic donations, campaigns, events, and in-kind gifts
- Review acknowledgments for accuracy and consistency before they are sent
Funder Relationship Support
- Maintain accurate records of all funder communications in Salesforce
- Track funder stewardship touchpoints to ensure timely and consistent communication
- Support follow-up correspondence with funders after proposal submissions, including providing additional documentation when requested
- Pull donor and funder reports from Salesforce and GoFundMe Pro to support relationship tracking and stewardship efforts
Reporting & Content Support
- Coordinate with program staff to collect outcome data, participant statistics, and impact stories for use in grant reports and proposals
- Compile and organize reporting materials to ensure all deliverables are accurate, complete, and submitted on time
- Draft and edit program reports and narratives as directed by the Senior Director of Development
- Assemble final proposal packages, ensuring all required attachments, formatting, and funder guidelines are met
- Maintain and update a library of boilerplate copy, including organizational background, mission statements, program descriptions, and key statistics for use across grant submissions and donor communications
QUALIFICATIONS
- Genuine commitment to the mission of the Lower Eastside Girls Club
- Bachelor’s degree
- 3-5 years of experience in nonprofit development, grants administration, or a related role
- Demonstrated experience with Government Grants Administration required
- Proficiency in Salesforce required; experience with Instrumental and Go Fund Me Pro preferred
- Self-directed and able to work independently
- Strong organizational skills and meticulous attention to detail
- Ability to manage multiple tasks and deadlines simultaneously
- Clear, professional written communication skills
