Summary Description:

The role of the scheduling coordinator is to ensure that client service requests are met in the shortest amount of time possible with consistency in scheduling. In addition to supporting team members with their shift preferences and availability. Conducts timely and effective scheduling of assignments to support well-coordinated service plans, maintain productivity standards and policies by utilizing effective scheduling. Identifies and communicates to leadership barriers to productivity and staffing. Creates, revises and organizes home care team schedules according to the service plan requirements and staff accessibility. Responds to client requests for service and addresses all scheduling inquiries and phone calls. Manages tasks and duties that support the overall operations of the home care department. Serves as home care assistant or companion in the event of a call out or new unfilled client request. Uses technology to improve daily operations and service enhancement. 


Essential Functions:

  • Performs job functions in a manner consistent with the mission and goals of the Loomis Communities. Adheres to The Loomis Communities Compliance and Ethics Program.
  • Demonstrates an awareness of, a respect for and attention to the diversity of the people with whom they interact (persons served, personnel, families/caregivers, and other stakeholders) that is reflected in attitudes, behavior and services.
  • Routinely engages with caregivers to determine availability of scheduling. Completes schedules, staffing assignments in a timely manner and responds to all home care inquires timely. Prioritize and schedule open shifts; find coverage for all time off requests and any last-minute cancellation. Communicates scheduling changes to residents and staff. Utilizes an automated scheduling system to maintain a calendar of services
  • Serves as home care assistant or companion in the event of a call out or new unfilled resident request.
  • Assists Operations Manager and Director with administrative tasks including setting up team meetings, taking of minutes, ensuring all marketing, team member, and client paperwork is available and other office management tasks as needed.
  • Responds to emergency situations and provides basic first aid care when needed within the limits of training and the policies of the Loomis Communities.
  • Monitors supply inventory and equipment as needed.
  • Routinely engages with residents to exceed their expectation with consistency of scheduling and satisfaction with caregivers. Communicates resident issues and needs, reviews daily communication records to ensure prompt resolution of problems to Operations Manager and others as appropriate.
  • Meets all competency requirements, including SAMMS and educational, training requirements.
  • Ensures continuous service delivery by participating in scheduled on-call shifts, responding promptly to emergency escalations or facility needs outside of standard working hours.


Qualifications:

  • Required Education

    High School diploma or equivalent

  • Preferred Education

    Associate or Bachelor’s degree

  • Required Experience

    Prior scheduling experience in a home care or healthcare agency setting

    Strong computer proficiency and ability to manage scheduling systems

  • Preferred Experience

    Home care experience

    Healthcare scheduling experience

  • Licenses / Certifications Required

    Valid Massachusetts Driver’s License

    CNA or HHA certification

    Current CPR certification

  • Transportation

     Reliable transportation/vehicle is required. May need to travel between communities within the work day.

  • Ability to deal with unexpected problems involving several variables in unusual situations.
  • Ability to read, writes, and speaks English.
  • Ability to relate well to all residents.
  • Ability to deal effectively with personnel, residents, family members, visitors and the public.
  • Ability to report to work regularly and promptly.
  • Ability to work beyond normal hours when necessary.
  • Ability to be on call as needed.
