Part-Time Transportation Assistant

Department: Transportation

Reports To: Director of Transportation

Position Summary

The Part-Time Transportation Assistant supports the daily operations of the Transportation Department by assisting with fleet readiness, vehicle maintenance coordination, transportation logistics, documentation, and administrative support. This position helps ensure that League vehicles are safe, clean, compliant, and ready to transport participants while promoting exceptional customer service and supporting the mission of The League for People with Disabilities.

This role requires flexibility, strong organizational skills, attention to detail, and the ability to work collaboratively with multiple departments to ensure safe, reliable, and efficient transportation services. This description builds upon the current Transportation Assistant responsibilities while modernizing and standardizing the role.

Essential Job Responsibilities

Fleet Operations

  • Prepare vehicles daily for program operations.
  • Ensure vehicles are clean, fueled, stocked, and ready for service.
  • Perform routine vehicle inspections and report maintenance concerns immediately.
  • Transport vehicles to and from maintenance appointments, inspections, detailing, and repairs.
  • Monitor vehicle registration, inspections, maintenance schedules, and preventive maintenance records.
  • Assist with maintaining fleet compliance records.

Transportation Support

  • Assist with emergency participant transportation when needed.
  • Support transportation scheduling and daily route adjustments.
  • Coordinate transportation requests under the direction of the Director of Transportation.
  • Maintain communication with drivers throughout the day regarding transportation needs.

Documentation & Compliance

  • Complete and maintain:
    • Vehicle inspection reports
    • Driver logs
    • Fuel logs
    • Mileage records
    • Maintenance documentation
    • Incident reports
  • Ensure all required transportation documentation is completed accurately and submitted timely.
  • Assist with grant reporting and transportation data collection.
  • Maintain First Aid kits, emergency supplies, wheelchair securement equipment, and vehicle safety materials.
Administrative Support

  • Answer department phone calls and emails.
  • Assist with filing, scanning, and maintaining transportation records.
  • Maintain electronic transportation files.
  • Prepare reports as requested.
  • Assist with inventory of transportation supplies.

Safety

  • Follow all League transportation policies and procedures.
  • Operate vehicles using defensive driving techniques.
  • Ensure compliance with all federal, state, local, DDA, and organizational transportation regulations.
  • Report accidents, incidents, vehicle damage, or safety concerns immediately.

Customer Service

  • Provide courteous and professional service to participants, families, staff, and community partners.
  • Work collaboratively with all League departments.
  • Maintain confidentiality of participant information.

Additional Duties

  • Support special events requiring transportation.
  • Cross-train with other Transportation Department functions.
  • Perform additional duties as assigned by the Director of Transportation or Vice President of Facility Operations.

Qualifications

Education

  • High School Diploma or GED preferred.

Experience

  • Minimum of two (2) years of transportation, logistics, fleet support, or administrative experience preferred.
  • Experience working with individuals with disabilities preferred.
  • Experience maintaining fleet documentation preferred.

Required Qualifications

  • Must be at least 21 years of age.
  • Valid Maryland Driver's License.
  • Minimum three (3) years of licensed driving experience.
  • Clean driving record acceptable under The League's insurance carrier requirements.
  • Ability to drive passenger vans and wheelchair-accessible vehicles.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong customer service skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to quickly learn transportation software and scheduling systems.

Physical Requirements

  • Frequently stand, walk, bend, lift, and reach.
  • Ability to lift up to 50 pounds.
  • Ability to work indoors and outdoors in varying weather conditions.
  • Ability to safely operate League vehicles.
  • Ability to enter and exit vehicles multiple times throughout the workday.

Work Schedule

  • Part-Time
  • Flexible schedule based on departmental needs.
  • Occasional evenings, weekends, or holidays may be required for special events or operational needs.
