Job Overview
We are seeking a dynamic and highly organized Secretary to join our professional team. In this vital role, you will serve as the backbone of our office operations. The secretary will Manage and coordinate appointment for clients, depositions, mediation and court hearings; request and receive medical records from hospitals, medical facilities, chiropractors and physicians for personal injury cases, and assist the Attorney with putting together demand brochures for settlements; and assist Attorney with preparing Summons and Complaints for Civil Court cases and assist Attorney with preparing Summons and Complaints and Court Orders in Family Court, and Probate Court.
Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and courtesy
- Answer and route multi-line phone systems efficiently while maintaining excellent phone etiquette
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Coordinate calendar for Attorney, scheduling appointments and meetings seamlessly
- Utilize office management software such as Microsoft Office, and other computer skills to streamline administrative tasks
- Provide customer support by responding to inquiries promptly and professionally via phone or email
- Perform clerical duties including typing correspondence, maintaining records, and organizing files for easy retrieval

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) tools for document creation and collaboration
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
- Excellent communication skills in both English and bilingual (if applicable), demonstrating clear verbal and written expression
- Experience with multi-line phone systems and phone etiquette to handle calls professionally
- Demonstrated office experience with clerical responsibilities such as filing, data entry, proofreading, and calendar management
