What are the responsibilities and job description for the Parish Secretary position at Holy Trinity Lutheran Church?
The Church Secretary is responsible for the efficient running of the church office and provides clerical support to the senior pastor, church council, and congregation. The Church Secretary is the first point of contact for the church, and as such, must be friendly, helpful, and organized. The position is 20 hours per week and is negotiable to meet the needs of the person selected for the position. He or she will answer phone calls, take messages, direct visitors, and maintain the church calendar, bulletin, and newsletter. The Church Secretary will also be responsible for maintaining church records, preparing correspondence, ordering supplies, and managing the church website and social media accounts. The ideal candidate will have excellent communication and interpersonal skills, as well as experience of office administration.
Duties & Responsibilities
- Answer all incoming calls in a polite and professional manner, providing accurate information about the church, its services, and events.
- Greet all visitors to the church office in a warm and welcoming manner, providing them with any information or assistance they may need.
- Maintain an up-to-date calendar of all church events, meetings, and activities, ensuring that all deadlines are met.
- Create Sunday Bulletins and Monthly Newsletters.
- Update and maintain the church website, ensuring that all content is accurate and current.
- Keep the church office always organized and tidy, stocking it with any necessary supplies.
- Process all incoming donations and payments, recording them accurately in the church database.
- Prepare and submit all required reports to the diocese or other governing body in a timely manner.
- Serve as the point of contact for all church vendors and service providers.
- Collect all church council meeting minutes, distributing them to all council members for scheduled council meetings.
- Perform any other duties as assigned by the pastor or other church leaders.
Required Skills and Qualifications
- Possess a personal faith commitment which guides them in the way they work with others and interact with members of the congregation. Kindness and a willingness to listen, to learn, and be challenged is a must.
- Proven experience as an administrative assistant, executive assistant, or similar role; Previous experience working in a church or religious organization preferred but not necessary.
- Excellent written and verbal communication skills; Strong organizational and time-management skills.
- Comfortable handling confidential information.
- Proficient in Microsoft Office, with aptitude to learn new software and systems.
- High school diploma or equivalent.
