Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, coordinate office operations, and support team members with their daily needs. Your energetic approach and attention to detail will help keep our office running smoothly and efficiently. Responsibilities

  • Greet visitors warmly, direct them appropriately, and maintain a professional front desk presence
  • Manage multi-line phone systems, answer inquiries promptly, and route calls effectively using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
  • Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy
  • Support calendar management and scheduling for team members, including setting appointments and reminders
  • Perform clerical duties such as photocopying, scanning, proofreading documents, and managing office supplies

Qualifications

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
  • Bilingual skills are highly desirable to assist diverse clients and team members
  • Experience with data entry, filing systems, and proofing documents accurately
  • Familiarity with office equipment such as multi-line phones, fax machines, and printers
  • Personal assistant or receptionist experience is a plus but not required
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously
