Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently.
- Handle data entry, filing, and document proofreading to support administrative workflows.
- Utilize Microsoft Office Suite and Google Workspace tools for scheduling, correspondence, and record keeping.
- Provide excellent customer support by addressing questions, providing information, and managing customer inquiries with courteous phone etiquette.
- Support office management tasks such as organizing supplies, managing incoming mail, and maintaining filing systems.
- Perform clerical duties including typing reports, updating databases, and ensuring accurate data entry.
- Collaborate with team members to streamline office procedures and improve overall efficiency.
Experience
- Prior experience working in an office environment or as a receptionist is preferred.
- Demonstrated proficiency with computer literacy, including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Excellent communication skills with a focus on phone etiquette; bilingualism is a plus.
- Previous experience in customer service or administrative support roles is highly desirable.
- Knowledge of office management procedures such as filing systems, calendar management, and clerical tasks.
