Overview
We are seeking a highly organized and proactive Team Operations Coordinator to support our team’s daily functions and ensure smooth operational workflows. This role involves managing calendars, organizing events, and coordinating various administrative tasks essential to the success of our real estate team. The ideal candidate will possess strong organizational skills, familiarity with real estate processes, and proficiency with relevant digital tools to facilitate efficient team operations.
Duties
- Support transaction coordination efforts, particularly in real estate contract-to-close processes, ensuring all steps are completed accurately and on time.
- Manage and maintain the team lead calendar, scheduling appointments, meetings, and deadlines to optimize productivity.
- Assist with document preparation, formatting, and templates using Microsoft Word and Excel.
- Organize and coordinate team events, meetings, and client-related activities to ensure seamless execution.
- Utilize Google Workspace tools such as Gmail and Google Calendar for communication and scheduling needs.
- Leverage CRM platforms like Compass CRM or other real estate CRMs (Follow Up Boss, KVCore) for client management and transaction tracking.
- Contribute to marketing materials creation using Canva or similar design tools.
- Maintain compliance with real estate contracts, contingency timelines, and related requirements by staying organized and attentive to detail.
Experience
- Prior experience in real estate transaction coordination or contract-to-close management is strongly preferred.
- Familiarity with Compass CRM is highly desirable; experience with other real estate CRM platforms such as Follow Up Boss or KVCore is also considered valuable.
- Solid understanding of real estate contracts, contingency timelines, and compliance standards.
- Proficiency in Gmail and Google Workspace tools for effective communication and scheduling.
- Strong skills in Microsoft Word and Excel, including formatting, formulas, and creating templates.
- Working knowledge of Canva for creating marketing or promotional materials is a plus.
