The Knox Fox Real Estate Group is looking for a professional, organized, and dependable full-time Administrative Assistant / Receptionist to support our growing real estate office.
This role will begin with front office, client service, and general administrative responsibilities. Over time, the right person will be trained to assist with more advanced real estate office tasks, including listing preparation, contract paperwork support, deadline tracking, client communication, vendor coordination, and file organization.
This is a great opportunity for someone who enjoys being organized, helping people, following systems, and supporting a busy real estate team behind the scenes.
This is not a sales position. Real estate experience is helpful, but not required. We are looking for someone with the right attitude, work ethic, communication skills, and attention to detail.
About the Role
You will be one of the first points of contact for our clients, agents, vendors, and visitors. We need someone who is friendly, professional, calm under pressure, and able to stay organized while managing a variety of tasks throughout the day.
The right person will be comfortable answering phones, greeting clients, handling administrative work, learning new systems, and helping keep the office running smoothly.
Responsibilities
Front Office / Reception
Answer incoming calls professionally and route them appropriately
Greet clients, vendors, and visitors in a warm and professional manner
Take accurate messages and make sure information gets to the right person
Maintain a clean, organized, and welcoming front office environment
Assist with scheduling, appointments, and calendar coordination
Help create a positive first impression for clients and visitors
Administrative Support
Handle email, scanning, printing, filing, and data entry
Prepare, organize, and maintain office files and records
Assist with client communication and follow-up as directed
Support agents and leadership with day-to-day administrative needs
Help maintain office systems, checklists, and procedures
Assist with ordering supplies and keeping the office organized
Help coordinate with photographers, inspectors, contractors, vendors, and service providers
Real Estate Office Support, With Training
Learn real estate forms, timelines, checklists, and office processes
Assist with listing preparation and property file organization
Help track important dates, documents, signatures, and follow-up items
Assist with contract-to-closing administrative support
Help keep client files accurate, complete, and organized
Support the team in creating a smooth and professional client experience
Take on additional responsibilities as training is provided
